Quota attainment tracking is one of the most important reports a sales leader looks at. It tells you not just who's hitting their number but who's on pace to hit it — which is the insight that lets you course-correct mid-month rather than accepting a miss at the end. Here's how to build a clean quota attainment tracker in Google Sheets.
Your Data Structure
You need two things: each rep's quota for the period, and their closed revenue to date. Keep quotas on a separate Quota sheet with rep name, period (month or quarter), and quota amount. Pull closed revenue from your CRM export or deals log.
Attainment Calculation
On your tracker sheet, list each rep in a row. Pull their quota using VLOOKUP:
=VLOOKUP(A2, QuotaSheet!A:C, 3, FALSE)
Pull their closed revenue using SUMIFS from your deals log:
=SUMIFS(Deals!D:D, Deals!B:B, A2, Deals!C:C, ">="&PeriodStart, Deals!C:C, "<="&PeriodEnd)
Attainment percentage:
=C2/B2
Where C2 is closed revenue and B2 is quota. Format as percentage. Apply conditional formatting: green if 100%+, amber if 75-99%, red below 75%.
Pacing Analysis
Pacing tells you whether a rep is on track to hit quota by period end, based on their current run rate. Calculate days elapsed and days remaining in the period, then project full-period revenue:
=C2/DAYS(TODAY(), PeriodStart)*DAYS(PeriodEnd, PeriodStart)
Compare projected revenue to quota to get projected attainment. A rep with 60% attainment halfway through the month is on pace for 100%. A rep with 60% attainment with one week left is not.
Team Summary
Add a team summary row at the bottom: total team quota (SUM of all quotas), total closed revenue (SUM of all closed), team attainment (closed/quota), and count of reps at 100%+, 75-99%, and below 75%.
