Pull ActiveTrail Bounce Data Into a Sheet for List Hygiene

The Scenario

You are an email deliverability specialist. Five campaigns went out over the last 60 days. Some are showing bounce rates above 3%, and your ESP account is flagged for review.

You need a clean list of every hard-bounce email address across all five campaigns in an Excel workbook so you can cross-reference it against the master CRM export and scrub the bad addresses. RevOps needs it by EOD.

The slow version:

  • You open each campaign in ActiveTrail, one at a time — five separate tabs
  • You export the bounce report for each — five CSVs
  • You import each CSV into a separate Excel tab, then manually copy rows into a master tab
  • Halfway through you realize two campaigns share some of the same bounced addresses and now you have duplicates
  • You write a COUNTIF formula to flag them, it breaks on a special character in one email address
  • It is 5:30 PM. RevOps needed it by 4:00.

RevOps wants two separate tabs — one for permanent removal, one for re-attempt.

Pull all bounces from ActiveTrail campaigns in the last 60 days. Write hard bounces into the Hard Bounces tab with email and campaign name. Write soft bounces into the Soft Bounces tab with email, bounce reason, and campaign name.

When you need bounce data for specific campaign IDs only

You do not want a date range — you want the three campaigns your ESP flagged specifically.

Get all bounced contacts from ActiveTrail campaigns 1001, 1002, and 1003. Write email, bounce type, and campaign name to the Bounces tab. Flag any email that appears in more than one campaign's bounce list with "Repeat Bounce" in column D.

When you want to cross-reference bounces against your current active list

You want to know which bounced addresses are still marked active in the workbook.

Pull all hard bounces from ActiveTrail campaigns in the last 60 days. Cross-reference against column A of the Active Subscribers tab. Write any address that is both a hard bounce and still listed as active into the Needs Suppression tab. Those are the ones to fix immediately.

When you want the full hygiene picture — bounces, unsubscribes, and inactives in one pass

Your deliverability consultant asked for a complete list hygiene report, not just bounces.

Pull all hard bounces from the last 60 days of ActiveTrail campaigns. Also pull all contacts who unsubscribed in the same period. Combine both into a master list in the Suppression tab: email, status (Hard Bounce or Unsubscribed), and date. Sort by date descending. Add a summary count at the top showing how many are in each category.
