Pull ActiveTrail Group Memberships Into a Sheet and Audit Contact Segmentation

The Scenario

You are a marketing ops analyst. In two days you are launching a product announcement to your VIP customer segment. You have 200 VIP customer emails in an Excel workbook, column A of the VIPs tab.

Before you load them into ActiveTrail as the campaign audience, you need to audit their segmentation. Which ActiveTrail groups are they in? Are any missing from groups they should be in? Are any in the "Churned" segment and should be excluded?

The slow version:

  • You log into ActiveTrail and look up the first VIP email manually
  • It belongs to 4 groups — you write them down
  • You look up the second email — 3 groups, two overlapping
  • By contact 20 you have lost track of what you are checking
  • You give up the full audit and run the campaign anyway
  • The announcement goes out to 40 VIPs in the "Churned" segment who should not have received it.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

You want to know which VIPs are in the "Churned" or "Unsubscribed" groups so you can exclude them.

For each email in column A of the VIPs tab, look up the contact in ActiveTrail and write their group memberships in column B. Write "EXCLUDE" in column C if the contact is in "Churned" or "Unsubscribed". Leave column C blank otherwise.

When you want to add missing contacts to the right group during the audit

Some VIPs are not in the "VIP Customers" group in ActiveTrail — they should be.

For each email in column A of the VIPs tab, look up the contact in ActiveTrail and write their current groups in column B. If the contact is NOT in "VIP Customers", add them to that group and write "Added to VIP" in column C. If they are already in it, write "Already in VIP" in column C.

When you want to see all groups in ActiveTrail before mapping

You want to see what groups exist before you start the contact audit.

List all groups in my ActiveTrail account and write each group's name and contact count to the Groups tab of this workbook. Sort by contact count descending.

When you want the full segmentation audit — lookup, flag, fix, and summary in one prompt

You want to hand compliance a complete picture.

For each email in column A of the VIPs tab, look up the contact in ActiveTrail and write their group memberships in column B of the same tab. Flag "EXCLUDE" in column C if the contact is in "Churned" or "Unsubscribed". Flag "MISSING" in column C if the contact is not found in ActiveTrail. On the Summary tab, write: total contacts, total found, total not found, total flagged for exclusion.
