Pull Altoviz Outstanding Invoices Into an Excel Workbook for Aged-Debt Analysis

The Scenario

You are a finance manager. Every Monday at 10 AM you have a cash-flow review with the CFO. She wants one thing: a clean breakdown of all outstanding invoices by age bracket — 0-30, 31-60, 61-90, and 90-plus days.

Last week you spent 45 minutes pulling the export, fixing the date formatting in Excel, writing the aging formula, and building the pivot. You were three minutes late to the meeting and the CFO had already started without you.

The bad version of this Monday:

  • Log into Altoviz

What If the Data Is Not Quite Ready

Altoviz invoices are not always a clean set. SheetXAI handles edge cases in the same prompt.

When some invoices have no due date set

A handful of invoices were created without a payment term, so there is no due date in Altoviz.

Fetch all unpaid Altoviz invoices. For invoices with no due date, label them "No Due Date" in the bracket column instead of calculating an age. Write all rows into the "Aged Debt" tab with the same columns, and include those invoices in a separate "No Due Date" section at the bottom of the summary.

When the CFO wants to see it by customer family instead of by bracket

Same data, different grouping.

Fetch all unpaid Altoviz invoices. Write the rows into the "Aged Debt" tab. Add the age bracket column. Then add a second summary table grouped by customer family showing total overdue per family, sorted descending by total amount.

When you need to exclude internal accounts

Your Altoviz instance has a handful of internal intercompany invoices that should not appear in the external aged-debt report.

Fetch all unpaid Altoviz invoices. Exclude any invoice where the customer name contains "Internal" or "Intercompany." Write the remaining rows into the "Aged Debt" tab with the age bracket column and the summary pivot.

When you want the full picture — raw data, aging, summary, and a narrative for the CFO's notes

The CFO sometimes asks for a two-sentence brief before the meeting. You used to write that yourself.

Fetch all unpaid Altoviz invoices. Write them into the "Aged Debt" tab with age bracket labels. Add the summary pivot by bracket. Then write a two-sentence summary at the top of the tab identifying the largest overdue customer and the total at risk in the 90+ bucket.

The pattern: the report, the analysis, and the narrative all come from one prompt. You review, not rebuild.
