The Scenario
First-round interviews wrapped up Thursday. Your coordinator collected recruiter notes in an Excel workbook — 40 candidates, with candidate IDs, position IDs, and a notes column where each recruiter typed their post-call observations. The notes are thorough. They're just in a workbook.
The hiring team expects to see them in Breezy HR's discussion stream before Friday's debrief.
The bad version:
- Open Breezy HR. Find the first candidate by searching the ID. Navigate to their record under the right position. Click "Add Note." Paste the recruiter's text. Save.
- Do it 39 more times. Three minutes each on a good run.
- By candidate 30, realize two candidates have notes from two different recruiters in the same row, separated by a slash. Now you need to decide whether to post them as one combined note or go back and split them.
You hired this coordinator to run scheduling and logistics, not to spend two hours doing data entry the ATS should handle. The notes exist — transferring them shouldn't be anyone's full-time job on a Thursday afternoon.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent that lives inside your Excel workbook. It reads each row and posts the note to the right Breezy HR candidate discussion thread.
Read feedback notes from the "Recruiter Notes" worksheet — column A is candidate ID, column B is position ID, column C is the note text — and post each one as a Breezy HR candidate note for the corresponding candidate and position. Write the result into column D.
What You Get
- 40 notes posted to the correct Breezy HR candidate records, each associated with the right position.
- Column D shows "posted" or an error message (e.g., "candidate ID not found") per row.
- The hiring team opens Breezy HR for Friday's debrief and each candidate has their post-round notes already in the discussion stream.
- No note gets posted to the wrong candidate because of a copy-paste mistake.
What If the Data Is Not Quite Ready
Some cells have notes from two recruiters separated by a slash
In the "Recruiter Notes" worksheet, some rows in column C have notes from two recruiters separated by " / ". Split each into two separate Breezy HR notes — post them both to the same candidate in the same position. Write results into column D.
Notes from a second worksheet also need to be posted
The "Recruiter Notes" and "Coordinator Notes" worksheets both have the same column structure (A: candidate ID, B: position ID, C: note text). Post notes from both worksheets to Breezy HR. Write results into column D on each worksheet.
Some notes are flagged as internal-only and need a label
In the "Recruiter Notes" worksheet, column D marks some rows as "internal." For those rows, prepend the note text with "[Internal] " before posting to Breezy HR. For all other rows, post the note as-is. Write the Breezy HR result into column E.
Deduplicate, clean blank notes, and post all valid notes in one pass
Before posting any notes, remove duplicate rows from the "Recruiter Notes" worksheet where columns A and B both match (same candidate, same position). Keep the first occurrence. Skip any row where column C is blank — write "skipped — no note" into column D. Post all remaining notes to Breezy HR and write results into column D.
Every unnecessary note that gets posted is noise in the debrief. Getting the cleanup and the posting done in one instruction keeps the discussion stream clean.
