The Scenario
You are a customer success manager. Your team just finished its quarterly business review cycle — 40 clients, one review call each. You took notes in an Excel workbook: column A has the Capsule CRM party ID, column B has the meeting summary for that client.
Every one of those 40 summaries needs to be in the right Capsule party record as a note, so the sales team has context before the next outreach. The team starts calling Friday morning.
The bad version of Thursday evening:
- You open Capsule, find party 1, paste the note from the workbook, save
- Go back to the workbook, find party 2, open it in Capsule
- By the ninth client you are skimming the summaries to paste faster
- You paste the wrong note into the wrong record for two clients without realising
- You finish 22 of 40 before your eyes give out.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready
QBR note workbooks come in all shapes.
When the note text includes action items that should also become Capsule tasks
The summaries have "Action:" lines at the end that should become tasks in Capsule, not just be buried in a note.
For each row, add the full text from column B as a note to the Capsule CRM party in column A. Also scan the note for any line that starts with "Action:" and create a Capsule task for that party with the action text and a due date 14 days from today. Write the note status to column C and the number of tasks created to column D.
When some notes are too long and need summarising before they go into Capsule
The raw notes include transcript fragments. Capsule notes work better short.
For each row where the text in column B is longer than 500 characters, summarise it to under 300 characters while preserving the main outcome and any next steps. Then add the text as a note to the Capsule CRM party in column A. Write the status to column C.
When the party ID column is missing and you only have contact names
The workbook has client names, not Capsule party IDs.
For each row, look up the Capsule CRM party by the name in column A. If found, add the note from column B to that party. If not found, write "Party not found" to column C. Write "Added" to column C on success.
When you want the note to include a standardised header with the date and review type
You want all QBR notes to start with the same header so they are easy to filter inside Capsule later.
Prepend "QBR — Q2 2026 | " to the note text in column B for every row. Then add the modified text as a note to each Capsule CRM party in column A. Write the status to column C.
The pattern: formatting decisions happen in the same prompt as the note creation.
