Update Capsule CRM Opportunity Milestones After a Pipeline Review

The Scenario

You are a sales VP. The quarterly pipeline review finished at 3 PM yesterday. You spent two hours going through 50 open opportunities with your team and annotated every row in an Excel workbook with the new milestone, revised value, and updated close date.

Column A: opportunity ID. Column B: new milestone. Column C: new value. Column D: new close date.

Those changes need to be in Capsule CRM before the sales team starts their Friday morning calls. It is Thursday at 5 PM.

The bad version of Thursday evening:

  • You open Capsule and search for opportunity ID 1
  • You update the milestone, value, and close date
  • Save, go back, search for opportunity 2
  • By the tenth opportunity you are tired and you transpose the close date for two of them
  • You do not catch the error until a rep calls you at 8 AM Friday asking why their deal shows the wrong stage
  • You are still finding and fixing errors at 9 AM Friday while the team waits.

What If the Data Is Not Quite Ready

Pipeline review workbooks always have edge cases.

When some milestone names in the workbook do not match Capsule's exact milestone labels

Your team abbreviated "Negotiation" as "Neg" in the workbook.

Before updating, normalise the milestone values in column B: "Neg" should map to "Negotiation," "Prop" to "Proposal," "Qual" to "Qualified." Then apply all updates to Capsule CRM. Write the status to column E.

When some rows were flagged during the review as needing a follow-up decision

A handful of opportunities have "TBD" in the milestone column.

For rows where column B says "TBD," write "Skipped — milestone TBD" to column E and do not update Capsule for that row. For all other rows, apply the milestone from column B, value from column C, and close date from column D. Write "Updated" to column E on success.

When close dates are written in mixed formats

Some are "30 June 2026," some are "2026-06-30," some are "Q2 end."

Normalise the close dates in column D to YYYY-MM-DD format, interpreting "Q2 end" as 2026-06-30, "Q3 end" as 2026-09-30. Then apply all updates to Capsule CRM. Write the status to column E.

When you also want a pipeline summary note written to the Capsule team feed after all updates are applied

The VP wants a record inside Capsule of what the review changed.

Apply all opportunity updates from the workbook to Capsule CRM — milestone from column B, value from column C, close date from column D. Write the status to column E. After all updates, post a note to the Capsule activity feed summarising: total opportunities updated, total pipeline value before and after, and the three opportunities with the largest value changes.

The pattern: the review output goes straight into Capsule in one prompt, with the audit trail included.
