Add a Batch of Contacts to a Constant Contact List from an Excel Workbook

The Scenario

You are a sales manager at a B2B company. Your team worked a trade show last week and came back with 1,200 business cards, scanned and entered into an Excel workbook on the Leads tab: name, email, company, and booth interaction score in columns A through D.

All 1,200 need to go into the "Trade Show 2026" list in Constant Contact before marketing sends the follow-up sequence on Monday. It is Friday afternoon.

The bad version of this Friday:

  • Export the Leads tab as a CSV
  • Log into Constant Contact
  • Navigate to Contacts → Lists → Trade Show 2026
  • Click "Add Members"
  • Upload the CSV
  • Watch the import wizard reject 38 rows for formatting errors
  • Download the error report, fix the rows manually
  • Re-upload
  • Monday morning, 23 contacts are in the wrong list.

The fast version is one prompt and you leave for the weekend.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook that adds contacts to Constant Contact lists directly, no CSV export, no import wizard.

Open the SheetXAI sidebar and type:

Add all contacts from the Leads tab to the Constant Contact list named 'Trade Show 2026'. Use column A for first name, column B for email, column C for company. If a contact already exists, just add them to the list. Write the status of each row into column E.

SheetXAI processes all 1,200 rows from the Leads tab, creates contacts where needed, adds every one to the Trade Show 2026 list, and writes a status into column E.

What You Get

1,200 contacts in the Trade Show 2026 list, with a status column in the Leads tab:

  • "Added" — contact existed and was added to the list
  • "Created + Added" — net new contact created and added in one step
  • "Skipped — duplicate" — already in the list, no action needed
  • "Error — bad email" — flagged for your review

No guessing what happened to row 847. The status column tells you exactly.

What If the Data Is Not Quite Ready

Trade show lead workbooks always have issues. SheetXAI handles them inline.

When some rows are missing email addresses

The SDR team left blanks for contacts who only gave a business card without an email.

Process all rows in the Leads tab. For any row where the email column is blank, write "SKIPPED — no email" into column E and skip it. For all other rows, add the contact to the Constant Contact list 'Trade Show 2026'.

When you want to segment by interaction score before adding to the list

High-score contacts go to "Trade Show 2026 Hot Leads," low-score contacts go to "Trade Show 2026 Nurture."

For each row in the Leads tab, check column D (interaction score). If the score is 8 or higher, add the contact to the Constant Contact list 'Trade Show 2026 Hot Leads'. If below 8, add them to 'Trade Show 2026 Nurture'. Write the list name each contact was added to in column E.

When the same contact is in multiple rows

Two SDRs scanned the same badge.

Deduplicate the Leads tab by email address in column B, keeping the row with the higher interaction score in column D. Then add all unique contacts to the Constant Contact list 'Trade Show 2026' and write the status in column E.

When the leads need custom field values before being added to the list

For each row in the Leads tab, create a Constant Contact contact with first name from column A, email from column B, company from column C. Set the custom field 'Lead Source' to 'Trade Show 2026' and 'Interaction Score' to the value in column D. Then add each contact to the list named 'Trade Show 2026'. Write the status into column E.

The pattern: instead of cleaning the workbook, exporting a CSV, fixing errors, and re-importing, you describe what you want and SheetXAI handles the exceptions row by row.
