Export HeyReach Sender Accounts Into a Excel

The Scenario

You're an account manager at a LinkedIn outreach agency. You manage 15 client LinkedIn accounts connected to HeyReach. At the start of every month, each client gets a capacity report: sender account name, connection count, LinkedIn profile URL, and any available activity stats. Your agency's SLA says this goes out by the 3rd of the month.

It's the 1st. You've done this report twice before. Each time you clicked through every account in HeyReach, read the stats, and entered them into your Excel workbook by hand. Fifteen accounts, four fields each, about 20 minutes of your morning. That's 20 minutes you now know is fully automatable, because you've done it identically both times.

The bad version:

  • Navigate to the LinkedIn Accounts panel in HeyReach, click the first account, and manually type its name and connection count into your workbook.
  • Repeat for all 15 accounts, keeping the row order consistent with last month's report so nothing gets mis-attributed.
  • Cross-check that none of the accounts are missing — the panel doesn't alert you if an account disconnected since last month.

The data is in HeyReach. The workbook is open. There is no good reason for a human to be the bridge between them.

Fetch all HeyReach LinkedIn accounts and write account ID, name, profile URL, and connection count into 'Sender Accounts' — look up the profile URL in column A of my 'Client Map' worksheet and add the client name from column B into column E

You want to flag accounts that appear to have disconnected

If an account that was in last month's report doesn't appear in this month's pull, you want to know immediately.

Fetch all HeyReach LinkedIn accounts and write their details into 'Sender Accounts' — then check column A of the 'Previous Month' worksheet and flag in column F any accounts from that list that don't appear in this month's pull, as 'Disconnected?'

Pull accounts, map to clients, calculate capacity tier, flag disconnected — in one pass

Fetch all HeyReach LinkedIn accounts — write account ID, name, profile URL, and connection count into 'Sender Accounts' — map client names from 'Client Map' column A and B into column E — add a column F: if connection count is under 200, write 'Limited Capacity', otherwise write 'Active' — flag any account from 'Previous Month' column A that doesn't appear in this pull as 'Disconnected?' in column G
