Bulk-Create HubSpot CRM Notes From an Excel Workbook After an Event

The Scenario

You are a field sales rep. You just got back from a three-day conference. You had conversations with 75 people and took notes on each one in an Excel workbook: HubSpot contact ID in column A, note body in column B, conversation date in column C. The file is on your laptop.

Every note needs to be logged on the right HubSpot contact record before your manager reviews the conference ROI on Monday.

The bad version:

  • You open HubSpot, search for the first contact ID, open their timeline, add the note, save
  • You move to the second row and repeat
  • After forty-five minutes you have logged twelve notes
  • Your manager pulls the conference contacts on Sunday and sees only twelve with any activity
  • You spend Sunday logging the rest from your phone.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

Post-conference workbooks are assembled quickly and often have gaps.

When some contact IDs are wrong or no longer exist

You copied a few IDs incorrectly from the conference badge scanner.

For each row in the Notes tab, check whether the HubSpot contact ID in column A exists before creating the note. If the ID is invalid, write "ID NOT FOUND" to column D.

When notes need to be logged on deals instead of contacts

Some conversations were with existing deal contacts and the note belongs on the deal record.

For rows in the Notes tab where column E says "deal," create a HubSpot note on the deal ID in column A. For rows where column E says "contact," create the note on the contact. Write note IDs to column D.

When you also need to update each contact's next follow-up date

The conversations included agreed follow-up dates in column D. You want the note created and the contact's next activity date updated.

For each row in the Notes tab, create a HubSpot note on the contact ID in column A with body from column B and timestamp from column C. Then update the contact's next follow-up date to column D. Write note ID to column E and update status to column F.

When you want the full post-conference operation in one prompt

Notes logged, follow-up dates set, contacts tagged with the conference name, all at once.

For each row in the Notes tab, create a HubSpot note on the contact in column A using column B as body and column C as timestamp. Update the contact's next follow-up date to column D. Add the tag "Conference May 2026" to each contact. Write note ID to column E and update status to column F.
