Move Issues Into an Active Jira Sprint From a Excel

The Scenario

It is Thursday morning. Sprint planning starts in 45 minutes. The backlog refinement last Tuesday produced a list of 22 selected issues — their keys are in column A of the Sprint Planning workbook. None of them are in the sprint yet. The board still shows last sprint's content and the team is going to walk in expecting a clean backlog view.

The bad version:

  • Open Jira, navigate to the backlog, search for the first issue key.
  • Right-click the card, find the sprint assignment menu, select the active sprint, confirm.
  • Search for the second key. Repeat.
  • Realize at issue 17 that three of the keys in the workbook belong to a project that was recently renamed and the keys no longer resolve.

Twenty-two issues at two minutes each is forty-four minutes, and you have 45 minutes before the room fills up.

You know the sprint name but not the sprint ID

You know the sprint is "Sprint 15 - API Team" but you don't have the numeric ID.

Find the sprint named 'Sprint 15 - API Team' on Jira board 12 and get its sprint ID. Then move all issue keys in column A of my Sprint Planning sheet into that sprint and write the result into column B.

Some issues in the list were already moved manually and you don't want to trigger notifications

A few keys were dragged to the sprint during the refinement session. Re-moving them might send update notifications to watchers.

For each issue key in column A of my Sprint Planning sheet, check whether the issue is already in the active sprint on board 12. If it is, write 'already in sprint' in column B. If not, move it and write 'moved' or the error.

A few keys in the workbook belong to a project that was renamed and no longer resolve

Renamed project keys throw a "not found" error. You want those flagged separately from legitimate move failures.

For each issue key in column A of my Sprint Planning sheet, attempt to move the issue into sprint ID 215 on board 12. If the key returns 'not found', write 'invalid key' in column B. If the transition fails for another reason, write the error message. If it succeeds, write 'moved'.

Kill chain: validate issues, skip closed ones, move the rest, and summarize before the meeting

For each issue key in column A of my Sprint Planning sheet, check that the issue exists in Jira and is not in a Done or Closed status. Skip closed issues and write 'skipped - closed' in column B. Move valid open issues into sprint 215 on board 12 and write 'moved' or the error in column B. In cell D1, write a count: how many moved, how many skipped, how many errored.
