Audit Jotform Label and Form Assignments in Excel

The Scenario

You are the Jotform account admin at a mid-sized university. The account has sixty forms spread across fourteen departments, and nobody has agreed on which department owns which form.

The provost's office has asked for an organizational map: which forms are assigned to which department label, and which forms have no label at all. You need a two-column table in an Excel workbook by end of week.

The bad version:

  • You open Jotform's Labels panel and click the first label
  • It shows the forms inside. You type them into the workbook.
  • You click the second label. Repeat.
  • After nine labels you have not counted the unassigned forms
  • You realize you have to go back to the main Forms list, look at every form, and check which ones do not appear in any label
  • Friday at 4 PM you still have 11 labels left to document.

What If the Data Is Not Quite Ready

Label audits almost always have edge cases. SheetXAI handles them inline.

When you need to flag unassigned forms

After the labeled forms, you want a second section for forms that do not appear in any label.

Fetch all Jotform labels and the forms assigned to each. Write label name and form name into columns A and B of the Forms Org tab. Then fetch the full list of all forms in the account. For any form that does not appear in any label, add a row at the bottom with "Unassigned" in column A and the form name in column B.

When some labels represent inactive programs and should be flagged

Certain department labels are for programs that no longer run forms. You want to mark them.

Fetch all Jotform labels and their associated forms. Write label name and form name into the Forms Org tab. In column C, check whether the form is active or disabled and write the status. Highlight any rows where the form status is disabled.

When you want a count per label for the summary report

The provost's office wants to know how many forms each department has, not just which ones.

Fetch all Jotform labels and their forms. Write label name and form name into columns A and B of the Forms Org tab. Then in the Summary tab, write one row per label with the label name and the number of forms in that label, sorted descending by count.

When the full audit requires label membership, form status, submission count, and unassigned flag

The complete picture: every form in the account, with its label, status, and submission count.

Fetch all Jotform forms in the account and all labels with their assigned forms. For each form, write: form name, label (or "Unassigned" if none), form status (active/disabled), and total submission count into the Forms Org tab. Sort rows so unassigned and disabled forms appear at the top for easy review.

The pattern: the labels API gives the hierarchy, the forms API fills the gaps.
