Pull All Jotform Submissions Into an Excel Workbook for Analysis

The Scenario

You are an event organizer. The conference is four days away and you have 850 submissions in a Jotform registration form.

You need dietary restrictions, T-shirt sizes, and session track preferences in an Excel workbook before the badge printer can run. Your print vendor needs the file by Thursday at noon.

The bad version:

  • You open Jotform's Submissions tab and scroll to find the export button
  • You download the CSV, which has 40 columns because the form had 40 fields
  • You open Excel, import the file, and delete 35 columns you do not need
  • The dietary field has 12 spelling variants because it was a free-text box
  • You spend Tuesday afternoon normalizing "vegan," "Vegan," "plant-based," and "no meat" in Excel
  • You send the file. The vendor replies that session track is missing. You go back to the CSV.
  • You walk into Thursday at 11:55 AM still fixing the export.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook that reads what you need, calls Jotform's API, and writes the data into the workbook for you, so you never touch the export button.

Open the SheetXAI sidebar and type:

Fetch all submissions from Jotform form ID 230451234 and write each answer field into a separate column in this workbook, one row per submission. Label the columns using the Jotform field names.

SheetXAI pages through all 850 submissions, writes one row per response, and uses Jotform's field labels as column headers. The full dataset lands in the active tab in one go.

What You Get

A clean table in the workbook:

  • One row per submission — all 850, no pagination to manage
  • One column per field — named after the Jotform field label
  • No deleted columns — filter in Excel, not before import
  • No export button — the data just arrives

The full history comes through, not just recent submissions. If the form has been live for six months and you need everything from day one, SheetXAI pulls it all.

Want just the three columns you care about? Tell SheetXAI to extract only dietary preference, T-shirt size, and session track into columns A, B, and C of the Vendor Export tab. It filters at query time.

What If the Data Is Not Quite Ready

Most Jotform exports have cleanup work baked in. SheetXAI can clean and pull in the same prompt.

When a free-text field has inconsistent values

The dietary preference field was free-text and respondents typed "vegan," "Vegan," "plant-based," "no animal products," and "vegetarian — no eggs."

Fetch all submissions from Jotform form 230451234 and write them into this workbook. Then normalize the dietary preference column into five standard categories: Vegan, Vegetarian, Gluten-Free, Halal, and No Restriction. Write the normalized value into a new column called Dietary (Clean).

When you want a frequency summary alongside the raw data

The event team wants to know counts, not just the list.

Fetch all submissions from Jotform form 230451234, write them into the Registrations tab, then count how many respondents selected each dietary option and write the frequency table into a new Summary tab.

When you only want confirmed attendees

The form collected RSVPs but some respondents marked "maybe" or "can't attend."

Fetch all Jotform submissions from form 230451234. Filter to rows where the Attendance Status field equals "Confirmed." Write only those rows into this workbook, one per row.

When the raw data needs both cleanup and a summary before the vendor file

You need to normalize dietary options, filter to confirmed attendees, and produce a clean file — all before noon.

Fetch all submissions from Jotform form 230451234. Filter to Attendance Status = Confirmed. Normalize the dietary preference column into five standard categories: Vegan, Vegetarian, Gluten-Free, Halal, No Restriction — write the normalized value into column E. Extract only: first name, last name, email, T-shirt size, session track, and dietary (normalized). Write the result into the Vendor Export tab.

The pattern: instead of pulling raw data and cleaning it separately, you describe the final shape you need and SheetXAI builds it in one pass.
