The Scenario
You are a nonprofit program director. Your organization has six Jotform forms — one grant application per department. Each department head needs to download their own form data without logging into Jotform.
You want to give each of the six department heads a direct Excel export link for their form. One workbook. Form name, report link, and form owner in three columns. Each department head bookmarks their row and downloads their own data whenever they need it.
The bad version:
- You log into Jotform, navigate to form 1, go to the Reports tab, find the Excel export report, copy the link
- Paste it into the workbook, type the form name and owner manually
- Repeat for forms 2 through 6
- Realize the links expire or change and you have to redo this quarterly
- You spend 45 minutes building something you will rebuild next quarter.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

When you only want active forms in the directory
Jotform includes disabled and deleted forms in the API response. You do not want dead links in the directory.
Fetch all Jotform forms in my account. Filter to forms with status "active" only. For each, retrieve the report URL and write form name, form ID, status, and report download link into the Reports Directory tab.
When you need to assign an owner to each row
The directory goes out to department heads and each should see their form clearly labeled.
Fetch all Jotform forms in my account and retrieve report URLs for each. Write form name, form ID, and report URL into the Reports Directory tab. In a new column called Form Owner, write the name of the department based on the form name — use the first word of the form name as the department label.
When you want to include both Excel and chart report URLs
Jotform generates multiple report types per form. You want both the downloadable data link and the visual chart report link.
Fetch all Jotform forms and their associated report URLs. For each form, find the Excel download report URL and the chart/visual report URL. Write form name, Excel report link, and chart report link into three columns in the Reports Directory tab.
When you need the directory built, annotated, and with a distribution note
The full workflow: pull links, label owners, flag forms with no submissions, and write a note for the email.
Fetch all Jotform forms and their report URLs. Write form name, form ID, report URL, and total submission count into the Reports Directory tab. Add a column called Status: if submission count is 0, write "no data yet — no link to share"; otherwise write "ready." Then write a summary sentence in the cell above the table that I can copy into the distribution email, noting the date and how many forms have data ready.
The pattern: the directory is one prompt, the annotation is the same prompt.
