Bulk Add Comments and Block Cards in Kanbanize From a Excel

The Scenario

It's Thursday morning. A QA lead has just finished the release gate review and 35 cards didn't pass. Column A of her Excel workbook has the Kanbanize card IDs. Column B has a one-line failure note for each. Column C already says "QA Failed" in every row — it's been sitting that way since Tuesday, when she collected the results.

She needs to post the failure note as a comment on each card in Kanbanize and set each card's block reason to "QA Failed." The cards then go back to the engineers who own them.

This is a handoff step, not analysis. It should take three minutes.

The bad version:

  • Open the first card ID from column A in Kanbanize. Click "Add Comment." Paste the text from column B. Click "Block Card." Type "QA Failed" in the block reason field. Save.
  • Open the next card ID. The Kanbanize URL doesn't carry over so you're navigating from the board view every time.
  • Do this 34 more times. Lose your place at row 18 because a Teams notification came in. Go back, count the rows you've done, and start from 19.

The engineers are waiting. The sprint clock is running. Nobody hired this QA lead to spend her Thursday afternoon as a Kanbanize data-entry clerk.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It reads the workbook, understands the structure, and through its Kanbanize integration it can post comments and set block reasons across all 35 cards without you touching each one individually.

For every row in this workbook where column C says "QA Failed," add a card comment to the Kanbanize card in column A using the text in column B, then set the block reason on that card to "QA Failed."

What You Get

  • A comment posted on each of the 35 cards using the exact text from column B — no copy-paste, no reformatting.
  • Each card's block reason set to "QA Failed," surfacing the block on the board for the engineers who own those cards.
  • Any cards where the comment or block operation failed noted in a result column so you know which ones need a follow-up.

What If the Data Is Not Quite Ready

Some failure notes in column B have line breaks that need to be cleaned first

For every row in this workbook where column C says "QA Failed," clean the text in column B by removing any line breaks and trimming leading or trailing spaces, then post the cleaned text as a comment on the Kanbanize card in column A and set the block reason to "QA Failed."

You also need to unblock cards that passed the gate

For every row where column C says "QA Passed," remove the block reason from the Kanbanize card in column A. For every row where column C says "QA Failed," post the text in column B as a comment and set the block reason to "QA Failed."

The card IDs include a mix of formats — some are numeric, some have a prefix

Before processing, normalize column A by removing any non-numeric characters from each cell to extract the card ID. Then for every row where column C says "QA Failed," post the text in column B as a comment on that card and set the block reason to "QA Failed."

Full cleanup, comment, block, and writeback in one shot

For every row where column C says "QA Failed" and column D is empty, clean the text in column B, post it as a comment on the Kanbanize card in column A, set the block reason to "QA Failed," and write "done" to column D. Skip any rows where column A is blank or column D already says "done."

One prompt that filters, cleans, comments, blocks, and marks completion — so you can re-run it safely without double-posting on cards you already handled.
