Bulk Import a Product Catalog Into Loyverse From an Excel workbook

The Scenario

You're opening a new café location in three weeks. The kitchen manager spent the past month building out the entire menu in an Excel workbook — 120 items across 8 categories, each row listing product name, category, variant sizes in columns C/D/E, and prices in F/G/H.

Loyverse is installed on the iPad POS at the new location. It's empty.

The bad version:

  • Open Loyverse's product editor and start creating items one at a time: name, category, then a separate step for each variant and its price.
  • By item 35 you've realized the Large price and Medium price columns are swapped in three rows of the workbook. You correct them in the workbook but you've already entered them wrong in Loyverse — now you have to find and fix those three items in the UI.
  • Two and a half hours in, you're 90 items through and the new barista needs training on the POS right now.

The menu was done. The work was done. The next step — loading it into Loyverse — shouldn't take the better part of a morning.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It reads the sheet structure, maps columns to Loyverse fields, and creates all 120 items and variants in a single operation.

Open the SheetXAI sidebar and paste this prompt:

Excel sheet 'Menu' has product name in column A, category in B, variant names Small/Medium/Large in C/D/E, and prices in F/G/H — bulk-create all 120 items and their variants in Loyverse

What You Get

  • 120 items created in Loyverse with category assignments and three variants each.
  • Prices mapped correctly from columns F, G, and H to the Small, Medium, and Large variants.
  • Any rows with missing required fields flagged in column I rather than silently skipped.

What If the Data Is Not Quite Ready

Some items only have one size, not three

Excel 'Menu' sheet — some rows have all three variant prices in F/G/H, others only have a value in column F with G/H blank — create each item with however many variants are populated, skip blank variant columns

Items are split across multiple worksheets by category

Combine items from 'Hot Drinks', 'Cold Drinks', and 'Food' worksheets — each has product name in A, variant sizes in C/D/E, prices in F/G/H — create all items in Loyverse using the worksheet name as the category

Category names in the workbook don't match Loyverse's existing categories

Excel 'Menu' — before creating items, check which categories already exist in Loyverse, create any that are missing, then create all items assigned to the correct category

Full catalog load with cleanup in one shot

Excel 'Menu' — trim whitespace from all text columns, convert price columns F/G/H from text to numbers, skip rows where column A is blank, create all remaining items and variants in Loyverse, write status in column I
