Look Up Magnetic Task Details From a List of IDs in a Excel workbook

5 min read

The Scenario

The status report landed in your inbox at 4 PM on Tuesday — 45 task IDs, no other context.

You're the project coordinator. The account lead pulled these IDs from a Magnetic summary export during a client call and dropped them into an Excel workbook for you to "check on." They need to know: task names, assignees, statuses, completion states. All 45 of them. The executive sync is at 9 AM Wednesday.

The task IDs are in column A. Columns B through D are empty. Getting that data means opening Magnetic, searching each task ID individually, reading the task details, copying the fields, and pasting them into the workbook — 45 times.

The bad version:

  • Open Magnetic, search task ID 1, find the task, copy title, assignee, status into the workbook
  • Repeat for task ID 2, 3, 4 — each one requires a new search, a click through to the task, and three copy-paste operations
  • At task 18, realize you copied the assignee from task 17 into task 18's row and now you have to go back and check both records

You're going to be doing this until midnight if you don't find another way.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook. It reads the workbook — including your column of task IDs — and talks to Magnetic through its built-in integration to look up each task and write the results back in a single operation.

Open the SheetXAI sidebar with your task ID workbook open and ask:

Excel column A has task_id for 45 rows — look up each in Magnetic and fill in task_name, linked_opportunity, and completion_status

What You Get

  • Every task ID in column A looked up in Magnetic
  • task_name in column B, linked_opportunity in column C, completion_status in column D — one row per task ID
  • Any IDs where Magnetic returned an error flagged in column E instead of left blank and silently wrong
  • The full workbook enriched and ready for the 9 AM sync

What If the Data Is Not Quite Ready

Some task IDs in column A are blank or have header text mixed in

Column A of this workbook has 45 Magnetic task IDs — skip any blank rows or non-numeric values, fetch each valid task, and write task_name, assignee, status, and due_date into columns B–E

You also need the linked opportunity name for each task

Column A has 45 Magnetic task IDs — fetch each task and write task_name in B, assignee in C, status in D, due_date in E, and the linked opportunity name in F

The status values from Magnetic use codes you need to translate

Column A has 45 Magnetic task IDs — fetch each task, write task_name and assignee into columns B–C, and translate the Magnetic status code into plain English ("In Progress", "Complete", "Not Started") in column D

Full enrichment with overdue flagging — look up, translate, flag, summarize

Column A has 45 Magnetic task IDs — fetch each task, write task_name, assignee, status, due_date into columns B–E, flag any task where due_date is before today with "OVERDUE" in column F, then write a summary in cell H1: total tasks, count by status, count overdue

One pass through the prompt and the workbook is prepped for whatever review comes next.
