Search and Export Contacts From Magnetic to a Excel workbook

The Scenario

Someone in leadership asked for a prospect list, and they asked for it in a Slack message you received at 8:47 AM.

You're the business development manager. The sales director wants everyone tagged "prospect" in Magnetic handed off to the sales team by end of morning — name, email, phone, and company, in an Excel workbook, ready to work from. You have 15 client companies in Magnetic, and prospects are scattered across all of them.

There is no clean export for this. Magnetic doesn't let you filter contacts by tag across all companies in a single download. The only way to do it manually is to open each company's contact list, find anyone tagged "prospect," copy their details, and paste into the workbook. Fifteen companies. Probably 80+ contacts to review.

The bad version:

  • Open the first client company in Magnetic, go to contacts, scan for anyone tagged "prospect," copy the four fields, paste into the workbook
  • Do this for 14 more companies, one by one, keeping track of where you are
  • Finish and realize you missed one company because its contact tab was empty and you assumed that meant no prospects

You're supposed to be building pipeline. Not doing transcription work.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It reads the workbook and talks to Magnetic's contact API — through its built-in integration, it can search by tag, pull from multiple companies, and write the results into the worksheet you specify.

Open the SheetXAI sidebar and ask:

Pull all contacts for client ID 456 from Magnetic into Excel 'Contact Export' with name, email, job_title, and tags

What You Get

  • All contacts matching your filter across every Magnetic company, pulled in one pass
  • Each contact written as a row with name, email, phone, and company name
  • No company skipped — even ones with empty contact lists appear as zero rows rather than missing from the result
  • The workbook ready to hand off before your next coffee

What If the Data Is Not Quite Ready

You need prospects from specific companies only

Pull all Magnetic contacts tagged 'prospect' from companies 'Acme Corp', 'Thornfield Media', and 'Vantage Partners', and write to worksheet 'Contact Export' with contact_name, email, phone, job_title, and company

Some contacts have multiple tags and you want to include "warm-lead" as well

Pull all Magnetic contacts tagged 'prospect' or 'warm-lead' across all companies, deduplicate by email address, and write to worksheet 'Contact Export' with contact_name, email, phone, company, and tags

You need the contacts sorted by company for a territory split

Pull all Magnetic contacts tagged 'prospect', write to worksheet 'Contact Export' with contact_name, email, phone, and company — sort rows by company name alphabetically

Full handoff list — filter, enrich, deduplicate, format

Pull all Magnetic contacts tagged 'prospect' or 'warm-lead', remove any contacts where email is blank, deduplicate on email, sort by company name, and write to worksheet 'Contact Export' with these exact columns: Name, Email, Phone, Company, Tags — then flag any rows with a missing phone number in column F

The full cleanup plus the pull in a single ask — no intermediate export stage.
