Build a Full Monday.com Board Inventory in Excels

The Scenario

The monday.com account admin at a 200-person company got a request from the COO last week: before the workspace consolidation project begins, produce a complete inventory of every workspace and board in the account — with item counts — in an Excel workbook. The admin has never pulled account-wide data out of monday.com before. The admin panel shows workspaces but not item counts. The board list for each workspace requires clicking into each workspace individually.

The bad version:

  • Open monday.com, click into the first workspace, manually list every board name.
  • Open each board to find the item count — it's displayed in the board but not in the workspace overview.
  • Switch to Excel, enter the workspace name, board name, and item count.
  • Repeat for the second workspace — 12 boards, each requiring an individual board open.
  • After 45 minutes, you've covered two workspaces out of eleven.

Eleven workspaces, an average of eight boards each, each board requiring a click-in to get the item count — a full afternoon of data entry for a workbook the COO needs by Friday.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It talks to monday.com through its built-in integration and can pull account-wide workspace and board data into the workbook without any UI navigation.

Fetch all monday.com workspaces and write the workspace name, board count, and total item count across all boards into my Excel 'Account Overview' sheet

What You Get

  • One row per board, grouped by workspace.
  • Columns for: workspace name, board name, board ID, item count.
  • A subtotal row per workspace showing total boards and total items.
  • A grand total row at the bottom for the full account.

What If the Data Is Not Quite Ready

You also need the board type (main, private, share) for each board

List all monday.com workspaces and boards — include board type (main, private, or share) for each board alongside the board name, board ID, and item count in the 'Board Inventory' Excel sheet

You need to flag boards with zero items as candidates for archiving

List all monday.com workspaces and boards with item counts into the 'Board Inventory' Excel sheet. Flag any board with 0 items in column E as 'Empty — archive candidate'

The COO wants the data sorted by item count descending within each workspace

List all monday.com workspaces and boards with item counts into the 'Board Inventory' Excel sheet. Within each workspace group, sort boards by item count descending

Kill chain: pull full inventory, flag empties, calculate workspace concentration, and format for exec review

List all monday.com workspaces and boards with item counts into the 'Board Inventory' Excel sheet with columns: workspace, board name, board ID, type, item count. Flag 0-item boards in column F. Add a workspace subtotal row after each group. In a separate 'Exec Summary' worksheet, write one row per workspace with: name, board count, total items, percent of account total items. Bold headers, freeze row 1 on both worksheets.

One prompt builds the full account picture — inventory, flags, and exec summary — ready to hand to the COO.
