Export Motion Custom Field Definitions to an Excel workbook

The Scenario

You are an IT manager at a company running through a merger. Day one of integration planning: your counterpart at the acquired company needs a complete inventory of every custom field across two Motion workspaces — WS-001 and WS-002 — before the systems team decides what to consolidate. They want field name, type, and allowed options in an Excel worksheet by end of day.

You have admin access to both workspaces. You have never had to document this before. You open Motion's settings and find what you are looking for — eventually — buried two levels deep in each workspace separately.

The bad version:

  • Open Workspace WS-001. Settings. Custom fields. Copy field name, type, and options for each field into the workbook, one row at a time. 18 fields.
  • Switch to Workspace WS-002. Same settings path. 23 more fields. Some have dropdown options with five or six entries each.
  • Realize at field 30 that you are not sure whether you are documenting the right workspace anymore. The workbook rows have drifted from the UI view.
  • Finish. Send to your counterpart. Get a reply asking for the field IDs too. Start over.

The merger timeline is 60 days. Manual settings documentation at this pace does not fit the schedule.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It connects to Motion and pulls the custom field definitions you need. Open the sidebar and ask.

Fetch all custom fields from Motion workspaces WS-001 and WS-002 and write the workspace name, field name, and field type into a reference worksheet — one row per field.

What You Get

  • One row per custom field across both workspaces: workspace name, field name, and field type written to the Reference worksheet.
  • No manual settings navigation across two workspaces.
  • Ready to extend with a follow-up ask for field IDs or allowed options.

What If the Data Is Not Quite Ready

You need allowed options included for dropdown fields

The systems team needs to know what options each dropdown field supports.

List all custom fields in Motion workspaces WS-001 and WS-002. Write workspace name, field name, field type, and all available options to the Reference worksheet. For fields with multiple options, list each option separated by a comma.

You need to flag fields that exist in both workspaces

The consolidation decision depends on which fields are shared and which are unique.

Fetch all custom fields from Motion workspaces WS-001 and WS-002. Write workspace name, field name, and field type to the Reference worksheet. In column D, flag any field name that appears in both workspaces as DUPLICATE.

You need field IDs for the downstream migration script

Your counterpart's migration tool expects field IDs, not just names.

List all custom fields in Motion workspaces WS-001 and WS-002 and write workspace name, field ID, field name, and field type to the Reference worksheet.

Full merger inventory in one pass — all fields, options, duplicate flags, and a summary count

The IT director wants everything in one workbook: full field list, options, duplicate identification, and a count per workspace.

Fetch all custom fields from Motion workspaces WS-001 and WS-002. Write workspace name, field name, field type, and allowed options to the Detail worksheet. Flag any field name present in both workspaces in column E as DUPLICATE. In the Summary worksheet, write one row per workspace showing workspace name, total field count, and count of duplicate fields.

One prompt surfaces what would have taken two hours of manual Settings navigation.
