Export the Full Driver Roster From OptimoRoute Into a Excel workbook

The Scenario

You are an HR and logistics coordinator. Every Monday before routes are generated, the payroll team asks for an up-to-date driver roster: name, status, contact info, vehicle assignment. It takes you 15 minutes to pull this out of OptimoRoute every single week, and the payroll team wants it by 8 AM.

This week a driver was added to OptimoRoute on Friday afternoon. Payroll does not know she exists yet.

The bad version:

  • You log into OptimoRoute, navigate to Drivers, and start copying names and phone numbers into your Excel template by hand.
  • Halfway through, you realize payroll also needs email addresses, which are not visible in the driver list — you have to click into each profile individually to find them.
  • 30 drivers, 30 profile clicks. It is 8:45 AM. Payroll has already sent a follow-up.

The same 15-minute task, every single Monday.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It can pull the entire driver roster from OptimoRoute and write it into the workbook in one call.

Open the SheetXAI sidebar and ask:

Fetch all drivers from OptimoRoute and write their name, status, phone number, and vehicle assignment into this worksheet starting at row 2.

What You Get

  • Every driver in OptimoRoute is written to the workbook — one row per driver.
  • Columns: name, status, phone number, vehicle assignment.
  • Rows start at row 2, preserving the headers in row 1.
  • Newly added drivers — including the one added Friday — are included automatically.
  • Drivers with no vehicle assignment have that cell left blank.

What If the Data Is Not Quite Ready

Payroll also needs email addresses

Get the full driver list from OptimoRoute and populate the 'Drivers' worksheet with columns: driver ID, name, email, phone, and current status — sort by status so active drivers appear first.

The roster needs to be compared against last week's version

Fetch the current driver roster from OptimoRoute and write it into the 'Current Roster' worksheet — compare it against the names in the 'Last Week' worksheet and mark any new additions as "new" in column F, and write departures into a 'Departures' worksheet.

Payroll wants the roster sorted by last name, then by depot

Pull the full driver roster from OptimoRoute and write it sorted alphabetically by last name within each depot group — include name, status, phone, email, and vehicle.

You need the roster, payroll cross-reference, and a vehicle type summary in one pass

Fetch all drivers from OptimoRoute and write them into the 'Roster' worksheet with name, status, phone, email, and vehicle — then in the 'Summary' worksheet write a count of drivers per vehicle type and a count of active vs. inactive drivers, and flag any driver whose vehicle field is blank.

The summary and the roster land in one operation.
