Export Active ProAbono Subscriptions to Excel for MRR Analysis

The Scenario

You are a SaaS CFO. It is Tuesday at 9 AM and the board deck is due Thursday. Your investors want MRR broken down by plan tier, not just a single total.

All 800 active subscriptions are in ProAbono. You need customer reference, offer name, subscription start date, and status in an Excel workbook, then MRR calculated per offer tier. Your finance analyst is out this week.

The bad version of the next two hours:

  • You open the ProAbono portal and find the subscription export
  • You download a CSV with 27 columns you did not ask for
  • You import it into Excel and spend 20 minutes deleting the columns you do not need
  • You write a SUMIF to group by offer name and realize the offer names are inconsistent across 800 rows
  • You hand-correct 40 rows where "Starter" is "starter" or "STARTER"
  • You still need to calculate MRR from the subscription amount column, which is per-period not per-month
  • You are still at your laptop at 7 PM.

What If the Data Is Not Quite Ready

Most real subscription exports have edge cases. SheetXAI handles them in the same prompt.

When offer names are inconsistent across the export

You have "Starter," "starter," "STARTER," and "Starter Plan" all referring to the same tier.

List all active ProAbono subscriptions into the Subscriptions tab. Normalize offer names: map any variant of "Starter" to "Starter", "Growth" variants to "Growth", and "Enterprise" variants to "Enterprise". Then group by normalized offer name and calculate total MRR per tier in a summary table below the data.

When you need to exclude trial or paused subscriptions

The export includes statuses you do not want in the MRR number.

List all ProAbono subscriptions with status 'active' only — exclude trial, paused, and pending. Put customer reference, offer name, and monthly MRR into the Subscriptions tab, then add a summary row per offer tier below the data.

When you need MRR broken down by signup cohort

The CFO wants MRR by plan tier and by the quarter the customer signed up.

List all active ProAbono subscriptions into the Subscriptions tab. Add a signup cohort column that maps the start date to Q1/Q2/Q3/Q4 of the year. Then create a summary pivot in a new tab called MRR Summary showing MRR per offer tier per cohort.

When you want to flag accounts close to renewal

The board also wants to see MRR at risk in the next 30 days.

List all active ProAbono subscriptions into the Subscriptions tab. Add a "Renews Within 30 Days" flag in column F for any subscription whose next renewal date falls within 30 days of today. Calculate the MRR at risk from those flagged rows and add it to the summary table. Write everything into the Subscriptions tab.
