Export ProAbono Balance Lines to Excel for Billing Audits

The Scenario

You are a billing auditor. Your company's annual audit is in three weeks and you need to review every one-time charge and credit applied to 50 key ProAbono accounts over the past 12 months.

The accounts are already listed in column A of an Excel workbook, one reference per row. You need description, amount, currency, and creation date pulled for every balance line across all 50 accounts. The auditors want a line-by-line breakdown, not a summary.

The bad version:

  • You open ProAbono and look up the first account's balance lines manually
  • You copy description, amount, currency, and date into the workbook
  • Account 1 has 12 balance lines. Account 2 has 3. You realize you are going to be doing this for hours
  • By account 15 you have a workbook with inconsistent column widths and two typos
  • Someone changed account 7's reference in the source system and now your data does not match the audit trail
  • You deliver the balance line report a day late with errors the auditors flag on day one.

What If the Data Is Not Quite Ready

When you need to separate charges from credits

The auditors want charges and credits in separate tabs for cleaner reconciliation.

For each customer reference in column A of the Accounts tab, list their ProAbono balance lines from the past 12 months. Write lines with a positive amount into the Charges tab (columns A–E: reference, description, amount, currency, date). Write lines with a negative amount into the Credits tab with the same structure.

When you need to flag unusually large one-time charges

The audit flags any single balance line over $500 for additional review.

For each customer reference in column A of the Accounts tab, list their ProAbono balance lines. Write description, amount, currency, and creation date into columns B–E. In column F, flag any line with an amount greater than $500 with "REVIEW." Sort the flagged rows to the top.

When you need to total the balance impact per account

The auditors want to know net balance impact per account, not just the individual lines.

For each customer reference in column A, list their ProAbono balance lines from the past 12 months. After writing all lines into columns B–E, add a subtotal row per customer showing net amount (sum of all charges and credits) in column C.

When you need the full picture for a specific account before an audit interview

One account has a dispute and the auditors are interviewing you tomorrow morning about it.

For customer reference ENT-0082, list all ProAbono balance lines from the past 24 months. Show description, amount, currency, billing status, and creation date. Also fetch their current subscription offer name. Write everything into the Accounts tab so I have the full account history in one view.
