Build a Fundraiser Leaderboard From Raisely Campaign Data in Excel

The Scenario

You are an events manager running a peer-to-peer marathon fundraising campaign. 300 individual fundraisers have registered. The campaign closes Sunday.

Your program director wants a ranked leaderboard in an Excel workbook by Friday afternoon so the team can send personalized encouragement messages to anyone who has raised less than 20% of their goal. The outreach has to go out Friday evening — the campaign closes in two days and every dollar counts.

The slow version of Thursday:

  • Open the Raisely admin, navigate to fundraiser profiles, page through 300 of them 20 at a time
  • Note each person's name, goal, and total raised in the workbook by hand
  • Realize you also need donor counts, which are on a different page in Raisely
  • Cross-reference two separate data views by hand
  • It is 5 PM. 80 profiles entered. The outreach goes out half-covered.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

Peer-to-peer data has complications: draft profiles, team vs. individual splits, and enrichment needs for the outreach team.

When draft profiles are mixed in with live ones

Raisely sometimes returns unpublished profiles in the API response. You only want live fundraisers.

Fetch all fundraiser profiles from 'marathon-2025'. Filter to active or published profiles only. Rank by amount raised descending and write to the Leaderboard tab.

When you need separate tabs for teams and individuals

The campaign has both individual and team profiles. Leadership wants them separated.

Fetch all fundraiser profiles from 'marathon-2025'. Write individual profiles to the 'Individuals' tab ranked by amount raised. Write team profiles to the 'Teams' tab ranked by total raised. Add a percentage-of-goal column to each tab.

When the top 3 should be highlighted separately

Leadership wants the top three fundraisers called out above the main table.

Fetch all fundraiser profiles from 'marathon-2025'. Write the top 3 by amount raised into rows 2 through 4 of the Leaderboard tab with a 'TOP FUNDRAISER' label in column A. Write the full ranked list starting at row 6.

When the outreach team needs email addresses

The outreach team needs email addresses alongside the leaderboard to contact fundraisers directly.

Fetch all fundraiser profiles from 'marathon-2025'. For each profile, look up the associated user's email address. Add an 'Email' column to the Leaderboard tab. Flag anyone below 20% of goal as 'Needs Outreach'.
