Analyze Recurring Donor Subscriptions From Raisely in Excel

The Scenario

You are a donor relations manager at a health charity. Your monthly giving programme has 400 active recurring donors. It is the first Monday of the month and the payment processor flagged a batch of subscription issues over the weekend. You need to know which donors are affected before your team starts calling.

The slow version of Monday morning:

  • Log into Raisely, navigate to subscriptions, filter for "failed"
  • Export that CSV
  • Go back, filter for "past_due", export that CSV too
  • Open both in Excel, paste past_due below failed, delete the duplicate header
  • Realize the export has no "last attempted payment date" column
  • Look up individual records in Raisely to fill that in
  • It is 10 AM. You have called three donors. The list has forty-seven more.

What If the Data Is Not Quite Ready

Subscription data has edge cases that matter before you start calling donors.

When paused subscriptions should not appear in the at-risk list

Intentionally paused subscriptions are not the same as failed ones. You want them separated.

Import all subscriptions for 'monthly-giving' into the Subscriptions tab. Flag 'failed' or 'past_due' as 'At Risk'. Flag 'paused' as 'On Hold'. Leave 'active' unflagged. Sort so At Risk rows appear first.

When you need to quantify MRR at risk before the standup

Before the 9 AM standup you need to know how much monthly revenue is affected, not just the donor count.

Import all subscriptions for 'monthly-giving' into the Subscriptions tab. Normalize frequency to a monthly equivalent (annual ÷ 12, weekly × 4.33). Sum the normalized monthly amount for all 'failed' and 'past_due' rows and write the total in cell F1 as 'MRR at Risk'.

When the same donor has subscriptions across multiple campaigns

Major donors may have giving to two or three campaigns. You want one row per donor showing total recurring commitment.

Import all subscriptions across all my Raisely campaigns. Group by subscriber email in the Subscriptions tab. Sum monthly equivalent giving per email. Flag any email with at least one failed or past_due subscription.

When account manager assignments live in a separate workbook tab

The outreach team needs to know who owns each at-risk relationship before calling.

Import all subscriptions for 'monthly-giving' with status 'failed' or 'past_due' into the Subscriptions tab. For each subscriber email, look up the 'Account Manager' column in the CRM tab and add it. Sort by account manager so each person sees their own flagged donors first.
