Get Per-Speaker Audio Download Links From Recall.ai Into a Sheet

The Scenario

You are a podcast producer. You just wrapped a six-week run of multi-guest interviews, 15 recordings total, each with 2 to 4 speakers. Recall.ai captured each session with audio separation — individual tracks per speaker.

Your audio editor is waiting for the per-speaker download links. You have the 15 recording IDs in column A of an Excel workbook and approximately zero interest in clicking through each Recall.ai recording to find and copy every artifact URL manually.

The bad version of the next hour:

  • You open the Recall.ai dashboard and navigate to recording 1
  • You find the audio separation artifact section and copy each speaker URL
  • Switch to the workbook, paste — the column layout keeps shifting because speaker counts vary
  • By recording 6 the layout is inconsistent and the editor is confused
  • You give up and just forward the login credentials instead.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook that reads the recording IDs and fetches the audio separation artifact URLs from Recall.ai for each one.

Open the SheetXAI sidebar and type:

For every recording ID in column A, fetch the separate-audio artifact from Recall.ai and write each participant's download URL into column B. If a recording has multiple speakers, add extra rows below the first for each additional speaker and keep the recording ID in column A for reference.

SheetXAI calls the Recall.ai artifacts endpoint for each recording ID, extracts the per-speaker audio URLs, and writes them into the workbook with one row per speaker.

What You Get

A table with one row per speaker track:

  • Column A — recording ID (repeated for multi-speaker recordings)
  • Column B — individual speaker audio download URL

The URLs are direct download links, not dashboard links. Your editor pastes them into a browser or download manager and gets the files immediately.

What If the Data Is Not Quite Ready

Audio separation artifacts are not always available for every recording. SheetXAI handles the missing cases inline.

When some recordings do not have audio separation enabled

Not every recording had audio separation turned on at bot creation time.

For every recording ID in column A, try to fetch the audio separation artifacts from Recall.ai. If artifacts exist, write each speaker's download URL into column B. If no audio separation artifacts are found, write "NO SEPARATION — mixed audio only" into column B.

When you also want the mixed-audio fallback URL

Your editor wants per-speaker tracks when available, but the mixed-audio file as a fallback.

For each recording ID in column A, fetch the audio separation artifacts. If multiple speaker tracks are available, write each URL into column B with the speaker label in column C. If only a single track or no separation artifact exists, fetch the mixed-video artifact instead and write that download URL into column B with "mixed" in column C.

When the recording IDs have a prefix that needs stripping

Your workbook has IDs in the format REC-abc123 but the Recall.ai API expects just abc123.

For each recording ID in column A, strip the "REC-" prefix, then fetch the audio separation artifacts from Recall.ai and write each speaker's download URL into column B.

You are doing a full handoff package and need the audio links, the mixed video URL, and the screenshot count all in one table.

For each recording ID in column A, fetch the Recall.ai artifact list. Write the audio separation download URLs into column B, the mixed-video download URL into column C, and the number of screenshot artifacts into column D. If any artifact type is missing, write "none" in the corresponding cell.
