Export Reply.io Sequence Contacts With Engagement Data to an Excel Workbook

The Scenario

You are a VP of Sales. Your 'Mid-Market Nurture' sequence has 400 contacts enrolled and you have no idea where most of them are.

You need to know who is on which step, who has completed the sequence, and who has gone quiet after step two. The board deck is due Thursday and the "sequence effectiveness" slide is blank. Your Excel workbook is your working layer for board prep — you need the data in there.

Reply.io's built-in reports show aggregate open rates. What you actually need is a row-level view: contact, current step, engagement status, completion timestamp.

The slow version:

  • Go to Reply.io, open the sequence, click the People tab
  • Export to CSV
  • Open the CSV in Excel, paste into the PipelineData tab
  • Discover the export does not include current step number
  • Call Reply.io support
  • Build the board slide from the aggregate numbers instead, which answers a different question

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

When you want the drop-off count per step rather than the raw contact list

You need the funnel view, not the raw rows.

Get all contacts in 'Mid-Market Nurture'. Count how many are currently on each step number. Write step number in column A of the PipelineData tab, count of active contacts in column B, count of finished contacts in column C, and bounce count in column D.

When you only want contacts who have not responded past step 4

You want to identify candidates for a direct phone call.

Get all contacts in 'Mid-Market Nurture' whose status is 'active' and who are on step 5 or later. Write their email, name, and current step into the PipelineData tab.

When you need to join the sequence data with a CRM file in another tab

You have a Salesforce export in the CRMData tab with deal stage and ARR. You want to see if high-ARR prospects are dropping off early.

Get all contacts enrolled in 'Mid-Market Nurture' with their current step and status. Write them into columns A and B of the PipelineData tab. Then look up each email in the CRMData tab (A=email, B=deal stage, C=ARR) and add deal stage and ARR into columns C and D where a match exists.

When you need the same report across all active sequences

The board wants the funnel view for every running sequence, not just Mid-Market Nurture.

List all active Reply.io sequences. For each one, get all enrolled contacts with their current step and status. Write the results into the PipelineData tab with sequence name in column A, contact email in column B, current step in column C, and status in column D.

The pattern: instead of working with the aggregate numbers Reply.io surfaces, you ask for the row-level data and run your own analysis in Excel.
