Bulk-Create Rocketlane Tasks from an Implementation Playbook Workbook

The Scenario

You are a solutions architect. You have just finished a discovery call with a new enterprise customer and now you need to build out their Rocketlane implementation project. Your company's playbook has fifty tasks — every one is documented on the Implementation Checklist tab of an Excel workbook with task name, phase ID, due date, and assignee user ID.

The project exists in Rocketlane. The phases are there. Now you need to create fifty tasks, each under the right phase, each assigned to the right person, each with the right due date.

The slow version:

  • Open Rocketlane, navigate to phase one
  • Click "Add Task," type the name, set the due date, assign the user
  • Navigate to phase two, add the next task
  • Realize you are on task nine of fifty
  • You hate your job by task fifteen.

The Easy Way: One Prompt in SheetXAI

Add all 50 tasks from the Implementation Checklist tab to Rocketlane project ID in cell A1 — task name in column B, phase ID in column C, due date in column D, assignee in column E. Write each new task ID to column F.

What If the Data Is Not Quite Ready

Fifty-row playbooks are rarely clean.

When phase IDs are missing and you only have phase names

The checklist uses phase names like "Technical Setup" and "UAT," not Rocketlane phase IDs.

For each row in the Implementation Checklist tab, look up the Rocketlane phase ID for the phase name in column C under project ID in cell A1. Then create the task with the resolved phase ID, due date from column D, and assignee from column E. Write the new task ID to column F.

When assignee email addresses are used instead of user IDs

The checklist uses email addresses in column E because it was built from an HR directory.

For each row in the Implementation Checklist tab, resolve the Rocketlane user ID for the email address in column E. Then create the task under phase ID in column C, with due date from column D and the resolved assignee. Write the new task ID to column F.

When some tasks are optional and flagged in a column

Column G has "Required" or "Optional" for each task. You only want required tasks for this customer.

Filter the Implementation Checklist tab to rows where column G is "Required." For each of those rows, create a Rocketlane task under phase ID in column C, due date in column D, assignee in column E. Write the task ID to column F for created tasks and "SKIPPED" for optional ones.

When the playbook needs to be applied to twelve new projects at once

Q2 closed twelve new enterprise accounts and all of them need the full fifty-task playbook.

Read the project IDs from column F and phase ID mappings from columns G through L of the Deals tab. For each project, create the fifty tasks from the Implementation Checklist tab under the matching phase IDs, with due dates calculated relative to the project start date in column D of the Deals tab. Write each task ID back to a new Task Log tab with project ID and row reference.
