Bulk Assign Incident Collaborators in SafetyCulture From a Excel workbook

The Scenario

Your organization brought in a new safety investigator to cover a regulatory audit, and the auditor wants them assigned as a collaborator on 30 specific incidents before the review starts Thursday. You have an Excel workbook with the incident IDs. The investigator's user ID is in the system. There are 30 rows.

The person who did this manually last quarter spent an afternoon clicking through SafetyCulture incident pages one at a time. That person has since moved teams.

The bad version:

  • Open SafetyCulture, navigate to the first incident from your list, find the collaborator field, and add the investigator.
  • Save. Return to the incidents list. Find the next incident ID in your workbook. Repeat.
  • Realize at row 12 that two incident IDs look nearly identical in the UI and you clicked the wrong one.

What If the Data Is Not Quite Ready

Some incident IDs in column A are duplicates

Deduplicate column A before processing, then for each unique incident ID add user ID [investigator_user_id] as a SafetyCulture collaborator and write 'assigned' or the error to column B.

You need to add multiple collaborators to each incident

For each incident ID in column A, add both user ID [investigator_id_1] and user ID [investigator_id_2] as SafetyCulture collaborators. Write the result for each assignment to columns B and C.

You need to add collaborators from a separate reference worksheet

The investigator roster lives in a separate worksheet called "Investigators" in the same workbook.

For each incident ID in column A of my 'Incidents' worksheet, add both user IDs from cells B1 and B2 of my 'Investigators' worksheet as SafetyCulture collaborators, and write the result for each assignment to columns B and C.
