The Scenario
You're a content strategist and the editorial director asked for a list of every Spotlightr video referencing the keyword "onboarding" — video ID, name, and group — so you can plan a content refresh across the product education library. The account has hundreds of videos. Spotlightr's dashboard has a search bar. It does not have an export button that writes into Excel.
The bad version:
- Type "onboarding" into Spotlightr's search bar. Get a results list.
- Click into the first result, note the video ID, title, and group, switch to Excel, type in all three values.
- Click back, click the second result, repeat.
- After twenty minutes you have eight rows and aren't confident you captured the group name correctly for results four through six.
The refresh plan is due Friday. This is Tuesday. You're supposed to be planning content, not transcribing search results.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent that lives inside your Excel workbook. It reads the keyword from a cell, runs the Spotlightr search, and writes the results directly into the workbook.
Run a global Spotlightr search for each keyword in column A of my Excel sheet and populate columns B and C with the matching video titles and project names.
What You Get
- Every Spotlightr video matching each keyword in column A returned and written into the workbook.
- Video title in column B, project group name in column C.
- No duplicates — if the same video appears across multiple result pages, it appears once.
- Zero results for a keyword gets a note in the row rather than a blank.
What If the Data Is Not Quite Ready
You need to search multiple keywords and keep results in separate worksheets
Run a Spotlightr search for each keyword in column A. Write the results for each keyword into a separate worksheet named after the keyword — columns: video ID, title, group.
The search returns too many results and you only want specific groups
Search Spotlightr for the keyword in cell A1 and write results starting at row 3 — but only include videos whose group name is "Customer Success" or "Product Walkthroughs."
You want the search results plus play count for each video
Search Spotlightr for the keyword in cell A1 and write video ID, title, and group into columns A–C starting at row 3. Then for each result, fetch the total play count and write it into column D.
You want a single pass: search, fetch play counts, and add a refresh priority tag
Search Spotlightr for the keyword in cell A1. Write video ID, title, group, and total plays into columns A–D. In column E, write "Priority Refresh" if plays exceed 200, "Archive Candidate" if below 50, and "Standard Review" otherwise.
One prompt builds the complete content audit in a format the editorial director can use immediately.
