The Scenario
You are a customer support team lead. Your new Synthflow support agent goes live in three days. The agent needs to answer product questions accurately from day one.
You have 10 product FAQ documents whose URLs are listed in an Excel workbook in the KB Documents tab. You need a Synthflow knowledge base created and all 10 documents attached before the agent is assigned to the support line.
The slow version:
- You create the knowledge base manually in the Synthflow dashboard
- You paste the first URL, wait for processing, move to the next
- On document 7, the interface times out and you are not sure which documents are attached
- You start over from the beginning to be safe
- You finish the setup four hours later, two hours before go-live, with no written record of which documents are in the knowledge base.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

When some URLs in the workbook are broken or redirecting
A few links in the KB Documents tab go to old pages that have moved.
Before attaching documents to the knowledge base, check each URL in column B for a valid HTTP response. Write the HTTP status code into a Validation column. Skip any URL returning a 404 or a redirect, and note it as "invalid."
When you have multiple knowledge bases to create from different tabs
The Support tab has support FAQs, the Sales tab has sales docs, and the Engineering tab has technical references.
For each tab in this workbook, create a separate Synthflow knowledge base using the tab name. Attach each URL in column B of that tab as a document source. Write attachment status into the Status column for each tab.
When the knowledge base name should be pulled from a cell, not typed in the prompt
Different clients have different naming conventions and the name is stored in cell A1.
Create a Synthflow knowledge base using the name in cell A1 of the KB Documents tab. Attach each URL in column B starting from row 2 as a document source and write the attachment status into column C.
When you need to add documents to an existing knowledge base, not create a new one
The knowledge base already exists. You are adding new documents from this quarter's update.
Attach each URL in column B of the KB Documents tab to the existing Synthflow knowledge base with ID [KB_ID]. Write the attachment confirmation into the Status column. Skip any URL that already exists in the knowledge base.
The pattern: knowledge base setup is a list operation, not a click-through task. Ten documents, one prompt, full status tracking in the workbook.
