Build a Financial Summary Workbook from Tave Job Worksheets

The Scenario

You are the studio manager at a photography studio. Q1 is closing and the studio owner wants a single executive summary showing every active job's total revenue, amount collected, and outstanding balance — pulled directly from the Tave job worksheets.

You have 220 active jobs. Each one has a worksheet inside Tave with the financial detail. The owner wants them consolidated into one Excel workbook by end of day.

The bad version:

  • You open the first Tave job, navigate to the worksheet, and copy the revenue, payments, and balance numbers into your workbook
  • You move to the next job and repeat
  • After forty-five minutes you have covered twelve jobs and realize the owner wanted this by 3 PM.

The Easy Way: One Prompt in SheetXAI

What You Get

Sort column E descending in Excel and you immediately see your biggest outstanding balances. That is the follow-up priority list.

What If the Data Is Not Quite Ready

Real financial summaries need more than raw totals. SheetXAI handles the analysis and the extraction in the same prompt.

When you only want jobs past a certain stage

Lead-stage jobs should not appear in the receivables summary.

Fetch the job worksheet for each job ID in column A. Before writing the financial data, check the job's current stage. Only write rows for jobs in Proposal, Booked, In Progress, or Delivered stages. Skip Lead-stage jobs and note them in column F. Fill columns B through E with job name, total order value, total paid, and balance due.

When you want to flag jobs with an overdue balance

Jobs with a shoot date in the past and a positive balance due need attention.

Fetch the job worksheet for each job ID in column A. In column G, flag any job where the shoot date has passed and the balance due is greater than zero — write "OVERDUE" for those rows. Fill columns B through E with job name, total order value, total paid, and balance due.

When you need a summary row at the bottom

The owner wants total revenue, total collected, and total outstanding at the bottom of the workbook.

Fetch the job worksheet for each job ID in column A and fill columns B through E with job name, total order value, total paid, and balance due. At the bottom, add a summary row with the totals for columns C, D, and E.

When the job IDs in column A came from another system and some do not exist in Tave

You pulled the job IDs from an old system and not all of them migrated cleanly.

Fetch the job worksheet for each job ID in column A. If a job ID does not exist in Tave, write "NOT FOUND IN TAVE" into column B and leave columns C through E blank. For jobs that do exist, fill in job name, total order value, total paid, and balance due. Write the fetch status into column F.

The pattern: instead of opening 220 Tave jobs one at a time, you describe the extraction and the owner gets their summary by 3 PM.
