Send Handwritten-Style Notecards to VIP Customers From a Excel workbook

The Scenario

You manage customer success for a luxury brand. Sixty customers spent over $5,000 last quarter — their names, addresses, and a personalized note for each one are in an Excel workbook. Your director wants handwritten-style notecards out this week using a specific Thanks.io handwriting style. The style ID is in cell H1. You want to preview one before the full batch goes.

The bad version:

  • You open Thanks.io and navigate to the notecard send flow.
  • You enter the first recipient manually, select the handwriting style, type the message, and request a preview PDF.
  • The preview generates. You note that the process for the remaining 59 will take roughly the same time per card.

The report going to your director tomorrow lists "VIP nurture campaign" as complete. Right now it is not.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It reads your VIP list and talks to Thanks.io directly, handling the notecard send for every row without you touching the UI once.

Open the SheetXAI sidebar and paste this prompt:

For each VIP customer in this workbook (name in column A, address in columns B through E, personal note in column F), preview a Thanks.io notecard using handwriting style ID in cell H1 and then send if the preview looks correct.

SheetXAI generates the preview for the first recipient, confirms the layout, then executes the batch send across all 60 rows.

What You Get

  • Preview URL generated for the first recipient before the batch runs.
  • All 60 notecards submitted to Thanks.io with the correct handwriting style applied.
  • Order IDs or confirmation status written back into the workbook.
  • Any row with a missing or malformed address is flagged in a status column.

What If the Data Is Not Quite Ready

The personal notes have inconsistent length

Some notes in column F are three sentences, some are one. You want to cap them at 150 characters.

For each row in the VIP List worksheet, trim the message in column F to 150 characters if it is longer, then send a Thanks.io notecard using handwriting style ID from cell H1, name (A), address (B-E), and the trimmed message. Write the order ID into column G.

The handwriting style varies by tier

Column G contains a style ID per customer — different tiers get different styles.

Send a Thanks.io notecard to each row in the VIP List worksheet using name (A), address (B-E), message (F), and the handwriting style ID from column G for each individual row. Write the confirmation back into column H.

Some customers are missing a street address

Eight rows have a blank in column B.

Send a Thanks.io notecard to every row in the VIP List worksheet where column B is not blank, using name (A), street (B), city (C), state (D), zip (E), message (F), and style ID from cell H1. Write "Skipped - no address" into column G for any row where column B is empty.

Clean the message field, validate addresses, then send the full batch

Some notes have trailing punctuation issues, two rows have duplicate names, and column D has some full state names.

Remove duplicate rows where column A appears more than once, convert column D to two-letter state abbreviations, strip trailing spaces and double punctuation from column F, then send a Thanks.io notecard to every remaining row using name (A), address (B-E), cleaned message (F), and handwriting style from cell H1. Write the order ID into column G.

One prompt handles every cleanup step before the batch executes.

Try It

Get the 7-day free trial of SheetXAI and open your VIP customer workbook — ask it to send Thanks.io notecards to every row using the handwriting style ID already in the workbook. Once the campaign is running, see the order history export spoke to pull send confirmations back for reporting.
