Bulk Apply Labels to Trello Cards From a Excel workbook

The Scenario

The quarterly retrospective deck is due this afternoon. Before you can build it, 80 campaign cards on the Trello board need retroactive quarter labels — Q1 through Q4 — based on an Excel mapping your team built last week. Column A has card names. Column B has the label each card should get. Nobody applied them at the time because there was always something more urgent.

The bad version:

  • Open the first card in Trello. Find the Labels section. Search for 'Q1'. Click it. Close the card. Find the next card name in the workbook. Open it in Trello.
  • Eighty cards, eighty individual opens and label applications. The retrospective deck doesn't write itself while you're doing this.

The workbook is already the source of truth for what label goes where. The only remaining job is applying it — which is a job for a tool, not a person.

What If the Data Is Not Quite Ready

Card names in the workbook don't exactly match Trello (extra spaces, different cases)

For each row in this workbook, search the Trello board in cell B1 for a card whose name matches column A (case-insensitive, trimmed). Add the label named in column B. Write 'labeled', 'card not found', or 'label error' into column C.

You need to apply labels by card ID, not card name

For each row in this workbook, find the Trello card with the ID in column A and add the label named in column B. If the label doesn't exist on the board, create it with a default color of blue. Write 'done' into column C.

Column B has multiple comma-separated labels per card

For each row in this workbook, find the Trello card in column A (by ID) and apply each label listed in column B, separated by commas. Create any missing labels. Write the count of labels applied into column C.

Validate label names, apply them, report new ones for review

Check column B for any label names that don't exist on the Trello board in cell B1. List those in a 'New Labels' worksheet for review. Then for all rows, apply or create the label from column B to the card named in column A. Write 'applied' or 'created+applied' into column C.
