Bulk-Update Zendesk Organizations From a Excel

The Scenario

The quarterly account update process took five hours last time. 180 enterprise organizations needed their tier tags and account notes updated in Zendesk after the CRM classification run. Org IDs are in column A of the Excel workbook that RevOps uses as the source of truth. New tier tags are in column B. Updated account notes are in column C.

The operations coordinator who owns this process has been tracking the time. Five hours per quarter. She brought it up in the last team retrospective and was told "there isn't a better way."

The bad version:

  • Open Zendesk Admin.
  • Search for org ID 1, open the organization, find the tags field, remove the old tier tag, add the new one, find the notes field, replace the content, save.
  • Search for org ID 2.

180 organizations. Two fields each. The coordinator put the five-hour block on the calendar for next Thursday.

For each row — look up the Zendesk organization by Salesforce external ID from column A, then set notes from column B and replace tags with column C. Write Zendesk org ID to column D and update status to column E

For each row from row 2 to row 181 — update Zendesk org by ID in column A: set notes from column B, replace tier tag from column C (remove any tag starting with 'tier-' before adding), set custom field 'account_tier' to column D. Write 'updated' or error to column E. Write total updated count to cell G2
