Export Zendesk Group Memberships Into a Excel

The Scenario

The support team restructure is finalized. Before the new routing rules go live, the routing validator tool needs a complete agent-group assignment matrix — every agent's name, email, and which groups they belong to — in an Excel workbook. The validator can't run without this input file.

The Zendesk admin has 28 groups and somewhere around 1,200 total memberships. The only way to get this data currently is to click through each group in the admin panel and note who's in it.

The bad version:

  • Open Zendesk Admin, navigate to Groups.
  • Click group 1. Note the agent names. Go back.
  • Click group 2. Note the agents.
  • At group 14, realize you've been capturing agent names but the validator needs agent emails, and you have to go back to group 1.

Pre-routing-validation is a moment where getting the wrong input data is worse than having no data at all. The routing validator will process whatever you give it — including a membership matrix that's missing 200 records because you lost count at group 22.
