The Scenario

You are a sales director. The weekly pipeline call is at 2 PM on Friday. It is Friday at 11 AM.

Your sales data lives in Capsule CRM. Every opportunity has a name, a value, a milestone, a probability, an owner, and an expected close date. You need all of it in a Google Sheet — filtered, sorted, and formatted — before the call so you can run the weighted forecast calculation your finance team built.

The bad version of Friday morning:

  • You open Capsule and click through to the Opportunities section
  • You export a CSV, open it in Sheets, and discover it has forty columns you do not need and is missing the "owner" field
  • You filter by status, delete the irrelevant columns, and reformat the dates
  • You match the close dates to the format the finance formula expects
  • Your phone starts ringing at 1:50 PM and the sheet is not ready
  • You walk into the call with last week's numbers.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your spreadsheet that pulls exactly the Capsule CRM data you need, in the shape you need it, without a CSV export.

Open the SheetXAI sidebar and type:

Pull all open opportunities from Capsule CRM and write them into this sheet with columns for: opportunity name, party name, value, milestone, owner, probability, and expected close date. Sort by value descending. Exclude any opportunities with a status of Lost or Won.

SheetXAI calls the Capsule API, applies the filter, and writes the results directly into the sheet. No CSV, no column cleanup, no manual filtering.

What You Get

A clean sheet of every open opportunity with:

  • Opportunity name — exactly as it appears in Capsule
  • Party name — the associated contact or company
  • Value, milestone, owner, probability, expected close date — the fields your forecast formula needs
  • Sorted by value descending — biggest deals at the top

The sheet is ready to plug straight into the finance team's weighted forecast formula. No reformatting, no column matching, no date conversion.

Run the same prompt again next Friday. SheetXAI reads the new data from Capsule and overwrites the sheet. Same output, current numbers.

What If the Data Is Not Quite Ready

Pipeline data from Capsule is not always forecast-ready. SheetXAI can clean and compute in the same prompt.

When probability is missing for some milestones

Your team has not filled in probability for early-stage deals. You want to impute a standard probability per milestone rather than leave the forecast blank.

Pull all open Capsule CRM opportunities. Where probability is blank, set it to 20% for Prospecting, 40% for Qualified, 60% for Proposal, 80% for Negotiation. Write all fields into this sheet including the imputed probability. Sort by weighted value (value × probability) descending.

When you need weighted value calculated in the sheet

You want a Weighted Value column added by SheetXAI, not manually after the fact.

Pull all open opportunities from Capsule CRM. Write them into this sheet with the standard columns, plus add a Weighted Value column that multiplies value by probability. Sort by Weighted Value descending. Put a SUM of Weighted Value at the bottom of that column.

When the call focuses on deals closing this quarter

The finance team only cares about opportunities expected to close before 30 June 2026.

Pull all open Capsule CRM opportunities with an expected close date before 30 June 2026. Write them into this sheet sorted by close date ascending. Include opportunity name, party name, value, milestone, probability, and owner.

When you need a pipeline summary alongside the row data

The call opens with a one-paragraph pipeline summary before the row-by-row review.

Pull all open Capsule CRM opportunities. Write each one into the sheet with name, party, value, milestone, owner, probability, and close date. Then in cell A1 write a one-paragraph pipeline summary covering total pipeline value, weighted forecast value, number of deals by milestone, and the top 3 deals by value.

The pattern: the prompt does the aggregation that used to happen after the export.
