Map Investor Portfolio Data for Due Diligence Into a Google Sheet

The Scenario

You are three months into a fundraise and trying to be systematic about which VCs you approach. You have a Google Sheet with 10 target investors — firm names in column A — and you want to understand their portfolio overlap, typical check sizes, and which companies they have backed in the last two years. Your advisor told you to do your homework. What they did not tell you was how to get the data without spending a week on it.

The bad version:

  • Open each VC firm's website, find their portfolio page, and manually transcribe company names, funding stages, and investment dates into the sheet
  • Discover that three of the firms do not list dates on their portfolio pages, so you have to cross-reference Crunchbase to fill in the gaps
  • Realize that the portfolio page for one firm has not been updated since 2023 and is missing several recent investments you know about from reading TechCrunch

The manual portfolio mapping process is unreliable because the data sources are unreliable. You end up with a table that requires a footnote on every cell.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Google Sheet. It reads your investor list and calls Crustdata's investor portfolio endpoint for each firm, writing the full portfolio into a structured output sheet.

For each investor name in column A, use Crustdata to fetch their portfolio companies and write the results into a new sheet called Portfolio Data with columns: Investor, Portfolio Company, Stage, and Investment Date. Sort by Investor and then by Investment Date descending.

What You Get

  • A Portfolio Data sheet with one row per portfolio company
  • Columns: VC firm name, portfolio company name, funding stage at time of investment, investment date
  • Results sorted so the most recent investments appear first within each investor
  • Any investor where Crustdata has no portfolio data gets a note in the sheet so you know the gap is real

What If the Data Is Not Quite Ready

You only want portfolio companies from the last 24 months — older investments are not relevant to your round

For each investor in column A, use Crustdata to fetch portfolio companies and filter to investments made from May 2024 onward — write the results into Portfolio Data with Investor, Portfolio Company, Stage, and Investment Date columns

You want to identify portfolio companies that compete directly with you

Fetch Crustdata portfolio data for each investor in column A and write all results into Portfolio Data. Then add a column called Overlap Flag and mark any portfolio company that operates in the HR-tech or workforce management space.

You need a summary view — one row per investor — for a quick comparison table

For each investor in column A, use Crustdata to pull their full portfolio and write a summary row per investor with columns: Investor, Total Portfolio Companies, Most Common Stage, Most Common Industry, and Most Recent Investment Date

One prompt to pull portfolio data, summarize each investor, and rank them by fit

For each investor in column A, use Crustdata to fetch their portfolio companies. Write the full portfolio into a Portfolio Data sheet. Then create a Summary sheet with one row per investor showing: Total Portfolio Companies, Percentage at Series A or B, Most Recent Investment Date, and a Fit Score where investors whose portfolio is more than 40 percent Series A or B companies get "Strong Fit" and others get "Review".

Your advisor said to do your homework. This is your homework, done in one pass.
