The Scenario

You are the Dialpad administrator at a 500-person company. Your contract renewal is in three weeks. Legal wants a spreadsheet showing every user's name, email, office assignment, and license type before the renewal call.

You do not have that spreadsheet. Nobody has kept it up to date. The only source of truth is the Dialpad admin portal.

The bad version of the next hour:

  • You log into the Dialpad admin portal and navigate to the Users section
  • You start clicking through pages, copying names and emails one at a time
  • You realize the portal does not have a bulk export for the exact columns you need
  • You open a support ticket asking for a data export
  • The renewal call is Tuesday and the export has not arrived.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your spreadsheet that pulls the full Dialpad user roster and writes it into the sheet, formatted for your audit.

Open the SheetXAI sidebar and type:

List all Dialpad users and write their name, email, office name, and license type into a new "User Roster" sheet, sorted alphabetically by office name then by last name.

SheetXAI calls the Dialpad users API, paginates through all 500 users, and writes a clean table into the sheet. You have the audit-ready roster before your next meeting.

What You Get

A "User Roster" sheet with one row per user:

  • Name — readable, first and last
  • Email — for cross-referencing with your HR system
  • Office name — so you can group by location
  • License type — the key column for the renewal audit

Sorted by office then by last name so the auditors can work through it location by location without sorting it themselves.

Want a summary pivot at the top showing license count per type? Add that to the prompt and SheetXAI writes it above the main table.

What If the Data Is Not Quite Ready

User roster exports are rarely ready for a contract audit out of the box. SheetXAI handles the enrichment and the pull in the same prompt.

When you need to compare Dialpad users against your HR system

You want to flag any Dialpad account that does not have a matching active employee in your HRIS.

List all Dialpad users and write name, email, and license type into column A, B, and C of the "Roster Audit" sheet. Then compare column B against the "Active Employees" tab (column A = email). For any Dialpad user not found in the Active Employees tab, write "ORPHAN" in column D.

When you want users grouped by license type for the renewal negotiation

Your vendor wants to know how many seats of each tier you are actually using.

List all Dialpad users and group them by license type. For each license type, write a summary row showing the type name and seat count into the "License Summary" sheet. Below the summary, write the full user list sorted by license type so I can drill into each group.

When you need to add account status to flag inactive users

Some licenses may belong to people who are no longer active in Dialpad but whose accounts were never suspended.

List all Dialpad users and write name, email, office name, license type, and account status into the "User Roster" sheet. Flag any user with a status other than "active" in column F so I can review them for license reclamation.

When you want the full audit chain: pull roster, cross-reference HR, calculate cost, flag anomalies

Your CFO wants the financial view, not just the headcount.

List all Dialpad users and write name, email, office name, and license type into the "Full Audit" sheet. Cross-reference against the "Employee List" tab (column A = email). For each Dialpad user, write "MATCH" or "NO HR MATCH" into column E. Then use the license pricing table in the "Pricing" tab to calculate the monthly cost per user and write it into column F. Sum column F and write the total monthly spend into cell H1.

The pattern: instead of exporting the roster and then reconciling it manually, you describe the full audit in one prompt. SheetXAI handles the pull, the cross-reference, and the calculation in sequence.
