Export Outstanding Elorus Estimates Into a Google Sheet

The Scenario

You sent out fourteen estimates last quarter. Three came back signed. Two clients asked for revisions and went quiet. The other nine — you're not sure. Someone on the leadership team asked on a call this morning what the pipeline value at risk looks like, and you had no answer because the estimates list in Elorus doesn't give you an at-a-glance view of which ones are ageing and what they're worth in total.

The bad version:

  • Log into Elorus, open the Estimates section, scroll through the list, click on estimate #1 to check the status and expiry, note it on a piece of paper, go back, click estimate #2.
  • After clicking through eight estimates, open a blank sheet and start typing in what you just collected, realise you forgot to note the currency on estimates three and five, go back to Elorus to check.
  • Build a SUM formula on your manually entered amounts, get a number, and have no confidence in it because you entered everything by hand over the last forty-five minutes.

The leadership call is in two hours. "I'll get back to you on that" is not a great answer two quarters in a row.

What If the Data Is Not Quite Ready

You only want open estimates, not accepted or declined ones

Accepted estimates are already invoiced. Declined ones are dead. You need only the ones still in play.

List all Elorus estimates with status "sent" or "draft" and write estimate number, client name, total, currency, and expiry date into the "Open Estimates" tab

You want to flag estimates that have passed their expiry date

Some of your sent estimates are already past expiry. You need those surfaced separately so you can decide whether to reissue or close them.

List all open Elorus estimates and write estimate number, client name, amount, and expiry date into the "Open Estimates" tab — add a column E that calculates days since expiry for any estimate where the expiry date is before today, and leave it blank for estimates still within their window

You want to sort by age to prioritise follow-up

The oldest open estimates need follow-up first. You want them sorted by issue date ascending.

List all open Elorus estimates sorted by issue date oldest first, and write estimate number, client name, amount, currency, and days since issue date into the "Follow-Up" tab

Pull all open estimates, calculate days aged, flag expired, and write a pipeline total

List all Elorus estimates with status "sent" or "draft", write each one's number (A), client name (B), amount (C), currency (D), issue date (E), and expiry date (F) into the "Open Estimates" tab sorted by issue date ascending — add a column G with days since issue date, mark any row past its expiry date in column H as "EXPIRED", and write a total of column C at the bottom of the list

When the pipeline number is already in a cell before the call starts, the conversation is a different one.
