Set Up Eventee Halls and Breaks From a Google Sheet

The Scenario

You're the hybrid summit organiser, and the event platform goes live in three days. You have four halls and eight scheduled breaks defined across a two-day agenda — all of it sitting in a Google Sheet the programme committee built two months ago. None of it is in Eventee yet.

You found out yesterday that the person who was supposed to set up the Eventee structure left the company. The handoff document they left is one paragraph. It says "the halls and breaks are in the spreadsheet."

The bad version:

  • Open Eventee's admin panel. Navigate to Halls. Click "Create Hall." Type in the first hall name, set the display order, save. Go back to the list. Click "Create Hall" again. Repeat for the remaining three halls.
  • Navigate to Breaks. Click "Add Break." Type the break name. Set the start time. Set the end time. Save. Go back. Repeat seven more times, checking the spreadsheet after each one to make sure you've got the time right.
  • Finish, then realize the order you entered the halls doesn't match the order column in the spreadsheet. Go back into Halls, edit each one's display order, save each one again.

Hall names in the sheet don't match what you want displayed in the event app

Create a hall in Eventee for each row in my 'Halls' tab — use column A as the display name but add 'Hall' as a prefix if it's not already there. Display order from column B. Write the returned hall ID into column C.

Halls and breaks are in the same tab rather than separate tabs

In my 'Agenda' tab, create an Eventee hall for each row where column A is 'Hall' — using the name in column B and display order in column C. Write the returned hall ID into column D. Then for each row where column A is 'Break', create an Eventee break with name in column B, start time in C, end time in D. Write the returned break ID into column E.

Full pre-launch structure setup in one pass

Create all halls in Eventee from my 'Halls' tab — name in column A, display order in column B — and write the returned hall ID into column C. Then add all breaks from my 'Schedule' tab — break name in column A, start time in B, end time in C — and write the returned break ID into column D. Report a summary count of successfully created halls and breaks in cells A1 and B1 of my 'SetupLog' tab.
