The Scenario
The operations lead inherited the Fathom workspace when the previous IT manager left. She knows there are teams set up, she knows there are members, and she has a vague sense that some people who left the company six months ago might still have access.
Finance has asked for a full account access audit by end of week. The deliverable is a spreadsheet.
She's opened the Fathom settings panel three times. It shows names and email addresses. It doesn't have a bulk export button.
The bad version:
- Click through the Members section in Fathom settings, scroll through the list, start writing names and emails into a sheet by hand
- Realize there's a Teams view too and it's structured differently — now you're reconciling two different UI views into one sheet
- Get to row 40 and lose track of whether you've already added a particular name or if that's a different person with the same first name
This is an access audit, not a data entry project. The data already exists in Fathom — you just need it in a sheet.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent that lives inside your Google Sheet. It connects to Fathom and pulls your full team directory — names, emails, and team assignments — directly into the sheet, without you clicking through any UI.
List all Fathom team members in my organization and write their name, email address, and team name into this sheet, one row per member, starting at row 2
What You Get
- Column A: full name as registered in Fathom
- Column B: email address
- Column C: team name
- One row per member, no duplicates
- Members who belong to multiple teams appear once per team assignment
What If the Data Is Not Quite Ready
You need team members and team structure in separate tabs
List all Fathom team members and write name and email into the "Members" tab; separately, list all Fathom teams and write team name and member count into the "Teams" tab
You want to flag members whose email domain doesn't match your company domain
List all Fathom team members, write name, email, and team name into columns A through C, and add "external" in column D for any member whose email is not @yourcompany.com
You need to cross-reference against an existing HR roster in column A
Read the employee email addresses in column A of the "HR Roster" tab, then list all Fathom team members, and for each Fathom member write their name, email, and team in the "Fathom Access" tab; flag in column D any Fathom member whose email does not appear in the HR Roster
The full audit: pull the directory, cross-reference, and flag stale access in one shot
List all Fathom team members with name, email, and team name; compare the emails against column A of the "Active Employees" tab; write the results into the "Access Audit" tab starting at row 2; mark anyone not in the Active Employees list as "access review needed" in column D
One prompt does the retrieval, the comparison, and the flagging.
