The Scenario
Your sales director handed you a Google Sheet on Monday with 80 company names in column A. "Tell me which of these are already in Firmao," she said, "and what offers we have open with them." She needs it by Wednesday for a prospecting call with the board.
You've never done this lookup before. You open Firmao and start searching manually — type a company name in the search bar, see what comes up, copy the contact details, switch back to the sheet, paste them in. Then do it again.
After twenty minutes you've covered eleven rows.
The bad version:
- Search each company name in Firmao one at a time, copy the matching contact's email and phone into columns B and C.
- Then go back through the list a second time to look up open offers for each company — a separate Firmao section, a separate search, more copy-pasting.
- Discover that twelve company names in the sheet are spelled differently than they are in Firmao — "Kowalski & Sons" vs "Kowalski and Sons" — so those rows stay blank and you're not sure which ones you missed.
Wednesday is in two days. Doing this by hand for 80 companies is not a strategy.

Company names in the sheet don't exactly match Firmao — slight variations in spelling or punctuation
For each company in column A, search Firmao contacts using a fuzzy match — allow for minor spelling differences. Write the best-match contact name into column B, email into column C, and phone into column D. Put a confidence note (exact match / close match / no match) in column E.
The sheet has duplicates — some companies appear more than once in column A
Remove duplicate company names from column A first, keeping the first occurrence. Then for each unique company, search Firmao for a matching contact and write email, phone, and last-updated date into columns B–D.
Full kill-chain: deduplicate, enrich with contacts and offers, flag gaps
Deduplicate column A. For each unique company, search Firmao contacts and write email and phone into columns B–C. Then look up each company in Firmao's offer list and write the latest offer value and status into columns D–E. Flag any company with no Firmao contact with "Not in CRM" in column F. Write a summary at the bottom showing how many companies are in Firmao vs not.
