Export All Humanitix Events Into a Google Sheet for Portfolio Analysis

The Scenario

You're the events coordinator at a small environmental charity. It's 10 AM on a Thursday, and your executive director has just forwarded you an email from a major donor asking for a full overview of the organization's event portfolio — names, dates, venues, and ticket capacities — to include in their grant assessment. The donor needs it by end of day.

You have 34 events in Humanitix. Some are past, some upcoming, some still in draft.

The bad version:

  • Log into Humanitix, navigate to the events dashboard, and manually export each section — upcoming, past, draft — as separate CSVs because the platform doesn't offer a single combined export.
  • Open Google Sheets, import the first CSV, fix the date format that imports as text, delete the columns the donor doesn't need, rename the headers to match the grant template.
  • Repeat for the other two CSVs, then stack all three into one sheet and reconcile the column order, which doesn't match across files.

Grant assessment reports go to major donors. This one lands at 5 PM. You have four other things on your plate today, and none of them are "reformat three CSVs."

What If the Data Is Not Quite Ready

The dates are importing as UTC and you need local time

Retrieve all events from my Humanitix account and populate columns A–F with event name, start date, end date, venue, capacity, and event ID. Convert all datetimes to AEST (UTC+10) before writing them to the sheet.

You only want published events, not drafts

Fetch all events from my Humanitix account with status "on sale" or "sold out" and fill in the event name, start date, venue, and total capacity in columns A–D. Exclude drafts, cancelled, and ended events.

You need to join the event list against a second tab that has fundraising targets by event ID

Retrieve all Humanitix events and write event ID and event name to columns A and B. Then look up each event ID in the "Targets" tab column A and write the corresponding fundraising target from column B into column C of this sheet.

Clean up, filter, and format in one shot before sending to the donor

Pull all published Humanitix events (status: on sale or sold out) into this sheet with event name, start date, venue, and total capacity. Convert dates to DD/MM/YYYY format, sort by start date ascending, and flag any event with a capacity under 50 with "Small" in column E. Then generate a one-paragraph summary at the top of the sheet describing the total portfolio size and date range.

The pattern across all of these: ask for cleanup and delivery together, not in two separate steps.
