Export Lever Pipeline Stages and Candidate Counts Into a Google Sheet

5 min read

The Scenario

The board presentation is Thursday. The VP of Talent wants a funnel slide: every stage in the pipeline, current headcount per stage, conversion implied from the numbers. You have never exported stage-level candidate counts from Lever before. You are not sure that view even exists as an export.

The bad version:

  • Log into Lever, switch to the pipeline view, apply no filter, and start counting candidates per stage visually
  • Write the numbers down in a notepad, switch to Sheets, type them in manually
  • Realize the counts changed between when you started and when you finished because recruiting doesn't stop for your slide

You have a board deck to finish and a funnel table that needs to be accurate within the hour.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It pulls every pipeline stage from Lever and counts how many active candidates are currently in each stage — writing the result into your sheet in one pass.

Open your board deck data sheet and type:

Fetch all Lever stages and write their names into Column A, then count the total opportunities currently in each stage and write the count into Column B — one row per stage

What You Get

  • Column A: stage name as it appears in Lever
  • Column B: current active opportunity count for that stage
  • Every stage included, even stages with zero candidates
  • Data reflects the live pipeline at the moment you run the prompt

What If the Data Is Not Quite Ready

You need the stage ID alongside the name for downstream use

List all pipeline stages in Lever and write stage name and ID into columns A and B of this sheet — one row per stage

You want to exclude archived or deprecated stages

Fetch all Lever stages and write stage name and current opportunity count into columns A and B — exclude any stages with zero candidates and any stages flagged as archived

You need conversion rates between stages

Fetch all Lever stages and write stage name and candidate count into columns A and B. Then in Column C, calculate the percentage each stage represents of the total active pipeline — format as a decimal to two places

Funnel table, summary stats, and chart-ready data in one shot

Fetch all Lever stages and write stage name and candidate count into columns A and B sorted in pipeline order. Then write the total active candidates in cell D1. Then in columns F and G, write stage name and count only for stages with more than 10 candidates — label the headers 'Stage' and 'Count' for the chart

One prompt, complete board slide data — no separate summary step.
