Export All MOCO Projects With Budget and Hours Into a Google Sheet

The Scenario

The managing director of a 15-person agency calls a quarterly business review. He wants one thing on the table: every active project, with its total budget, hours tracked so far, and remaining budget. All 40 of them. In a Google Sheet. Before the meeting.

His PA puts it in the calendar on a Thursday. The QBR is Friday morning.

The bad version:

  • Open each of the 40 projects in MOCO, find the budget and hours figures, write them into the Sheet one row at a time.
  • Realize that MOCO shows hours in decimal format but the director wants them in hours and minutes — add a conversion step.
  • Three projects have been archived since last quarter but are still in the spreadsheet from before; remove them manually and recalculate the totals.

The PA spent two hours on a task that is fundamentally a data transfer. That is two hours she does not have on a Thursday afternoon before a board review.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It reads the sheet and uses its built-in MOCO integration to pull every active project's budget and hours data in one operation.

List all active MOCO projects and write project name, customer, total budget, hours tracked, and remaining budget into my Portfolio tab

What You Get

  • One row per active MOCO project.
  • Columns: project name, customer name, total budget, hours tracked (in decimal hours as stored in MOCO), and remaining budget calculated from the two.
  • Archived and inactive projects are excluded automatically.
  • The Portfolio tab reflects the live state of MOCO at the time of the pull.

What If the Data Is Not Quite Ready

I need hours in HH:MM format instead of decimal

List all active MOCO projects in my Portfolio tab with project name, customer, total budget, and hours tracked — convert hours tracked from decimal to HH:MM format before writing

I need to flag projects that are over 80% through their budget

List all active MOCO projects in my Portfolio tab and add a Budget Health column that flags any project where hours tracked represent more than 80% of the total budget

I need to group by customer and show a subtotal per client

List all active MOCO projects, group them by customer name, and write to my Portfolio tab with a subtotal row for total budget and total hours tracked per customer

One pass: pull project data, flag health issues, and draft a one-line status note per project

Pull all active MOCO projects. For each project, calculate budget utilization. Flag projects over 80% as At Risk, under 40% as Under-Utilized, and the rest as On Track. Add a Status column and a one-sentence Note column summarizing the situation. Write everything to the Portfolio tab.

The QBR sheet is ready Thursday evening. The managing director walks in with real numbers.
