The Scenario
You are a team lead who just inherited a Motion workspace from someone who left the company three weeks ago. A merger is closing in 60 days and your IT director needs a full inventory of every custom field across two workspaces — field name, type, and allowed options — before the systems team decides what to consolidate and what to retire.
You have never seen the inside of either workspace before today. The person who built them is gone.
The bad version:
- Open Motion Workspace WS-001. Navigate to Settings. Find the custom fields section. Manually copy each field name, type, and options into a sheet row by row.
- Switch to Workspace WS-002. Find the same settings page. Copy again.
- Realize WS-001 has 18 custom fields and WS-002 has 23, some with five or more allowed options each.
- At field 30, you are not sure whether you copied from WS-001 or WS-002. The rows blur together.
The merger timeline does not have room for a scavenger hunt through two Motion settings panels.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent that lives inside your Google Sheet. It talks to Motion's API and pulls the custom field definitions you need into a structured sheet. Open the sidebar and ask.
Fetch all custom fields from Motion workspaces WS-001 and WS-002 and write the workspace name, field name, and field type into a reference tab — one row per field.
What You Get
- One row per custom field across both workspaces: workspace name, field name, and field type written to the Reference tab.
- Fields with multiple allowed options can be listed in a single cell or across multiple rows — specify your preference in the prompt.
- No Settings panel navigation required.
What If the Data Is Not Quite Ready
You need allowed options included for dropdown fields
Some fields are dropdowns with defined option lists — you need those for the inventory too.
List all custom fields in Motion workspaces WS-001 and WS-002. Write workspace name, field name, field type, and all available options into the Reference tab. For fields with multiple options, list each option separated by a comma in the options column.
You need to flag duplicates across workspaces
The systems team wants to know which fields exist in both workspaces so they can decide whether to merge or separate them.
Fetch all custom fields from Motion workspaces WS-001 and WS-002. Write workspace name, field name, and field type to the Reference tab. In column D, flag any field name that appears in both workspaces with the word DUPLICATE.
You want the inventory sorted by field type
The consolidation team wants to review all Text fields together, all Dropdown fields together, and so on.
Fetch all custom fields from Motion workspaces WS-001 and WS-002. Write workspace name, field name, and field type to the Reference tab. Sort the output by field type ascending.
Full inventory with dedup flag, options, and a summary count in one pass
The IT director wants the full picture: all fields, their options, duplicate flags, and a summary count by workspace at the top.
Fetch all custom fields from Motion workspaces WS-001 and WS-002. Write workspace name, field name, field type, and allowed options to the Detail tab. Flag any field name present in both workspaces in column E as DUPLICATE. In the Summary tab, write one row per workspace showing workspace name, total field count, and count of duplicate fields.
One prompt surfaces what would have taken an hour of manual Settings navigation.
Try It
Open a blank Google Sheet or your IT documentation workbook, then Get the 7-day free trial of SheetXAI and ask it to export your Motion custom field definitions. For related workflows, see how to export Motion workspace users to a sheet or build a full workspace inventory.
