Export a Full Motion Workspace Inventory to a Google Sheet

The Scenario

You are a portfolio manager at a professional services firm. You oversee four client workspaces in Motion. Your managing partner asked for a governance report before the quarterly board meeting — workspace names, workspace types, available statuses, and configured labels, in one document, for all four workspaces.

You have admin access. You have never had to document this before. You open Motion and quickly realize that the configuration details you need are spread across four separate Settings panels.

The bad version:

  • Open Workspace 1. Settings. Find statuses. Copy them into a cell. Find labels. Copy those too.
  • Open Workspace 2. Settings. Statuses are in a different spot than Workspace 1 — it was set up by a different admin. Copy them.
  • Realize that Workspace 3 has custom statuses that do not match the defaults. Note them separately.
  • By the time you finish Workspace 4, the spreadsheet has inconsistent column names, mixed formatting, and you are not sure whether "Needs Review" in Workspace 1 is the same status as "In Review" in Workspace 3.

The board meeting is tomorrow at 9 AM and the governance deck is waiting on this slide.

Fetch all Motion workspaces and write workspace name and status values to Sheet1. In Sheet2, list every unique status name across all workspaces and flag any status name that appears in fewer than all four workspaces as INCONSISTENT.

Full governance report in one pass — workspaces, statuses, labels, inconsistency flags, and a summary

The board wants a summary count and the detail, with inconsistencies called out.

Fetch all Motion workspaces. Write workspace name, type, and all configured statuses and labels to the Detail tab — one row per workspace. In the Inconsistencies tab, flag any status or label name that does not appear in every workspace. In the Summary tab, write one row per workspace showing workspace name and total status count and total label count.
