The Scenario
You are an operations director at a 40-person company with three Motion workspaces — one per department. Licence renewal is in three weeks. HR sent you a headcount roster and asked you to reconcile it against the tool's actual user list before the renewal quote lands. You need the name and email of every user across all three workspaces, in one place.
You opened Motion's user settings this morning. Each workspace has its own user list. There is no export button.
The bad version:
- Open Workspace 1. Go to Settings, then Members. Manually copy each user's name and email into a sheet. 8 users.
- Open Workspace 2. Settings, Members. Copy. 11 users.
- Open Workspace 3. Settings, Members. Copy. 9 users. One of them is using a personal email that you have to look up separately because it does not match the HR roster.
- You are 28 rows in and you have no idea if you missed anyone, because Motion does not number the list.
The reconciliation is supposed to take 30 minutes. This version is already at 45 and you have not started comparing yet.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent that lives inside your Google Sheet. It connects to Motion and pulls user data across workspaces on request. Open the sidebar and ask.
Fetch all users from Motion workspaces WS-001, WS-002, and WS-003 and compile them into one sheet with workspace name, user name, and email — flag any email that appears in more than one workspace.
What You Get
- Every user from all three workspaces written to one sheet: workspace name, user name, and email.
- Any email appearing in multiple workspaces flagged in a status column — so you can see who holds licences in more than one workspace.
- One row per user, ready to paste into the HR reconciliation.
What If the Data Is Not Quite Ready
You need user IDs included for a downstream tool
Your IT team needs the Motion user ID for each person, not just the email.
List all users in my Motion workspace and write their name, email, and user ID to columns A, B, and C in this sheet.
You want to compare the Motion list against an HR roster already in the sheet
The HR roster is already in Sheet2 with email addresses in column A — you want to flag Motion users whose emails are not in the HR list.
Fetch all users from Motion workspaces WS-001, WS-002, and WS-003 and write workspace name, user name, and email to columns A, B, and C in Sheet1. In column D, mark "HR mismatch" for any email in column C that does not appear in Sheet2 column A.
You only need users from one workspace
The renewal this quarter only covers Workspace 2.
List all users in Motion workspace WS-002 and write their name and email to columns A and B.
Full reconciliation — cross-workspace list, HR mismatch flag, duplicate flag, and a summary count
The operations review needs everything: who is in each workspace, who appears in more than one, who is not in HR, and a total count by workspace.
Fetch all users from Motion workspaces WS-001, WS-002, and WS-003. Write workspace name, user name, and email to columns A, B, and C in the Users tab. In column D, flag any email appearing in more than one workspace as MULTI-WORKSPACE. In column E, flag any email not found in the HR roster in Sheet2 column A as HR MISMATCH. In the Summary tab, write one row per workspace showing workspace name and total user count.
All of that — one prompt, one pass.
