List All Passcreator Templates Into a Google Sheet

The Scenario

A marketing ops coordinator is briefing an external agency on a new joint loyalty campaign. Before the briefing, she needs to send the agency a reference list of every Passcreator template in use across the company's three brands — 15 templates in total — with the template ID, display name, and pass type for each. The template IDs are what the agency will need to specify when configuring their pass creation requests. She knows the templates exist in Passcreator. She does not know the IDs off the top of her head, and the agency call is in 90 minutes.

The bad version:

  • Log into Passcreator, navigate to Templates, and start copying template IDs and names manually into the sheet — each one requires clicking into the template detail to find the ID.
  • Get through eight templates before realising the ID format is inconsistent between older and newer templates, and you're not sure which format the agency's system expects.
  • Copy the wrong ID for two templates because the names are similar ("LoyaltyCard_V1" and "LoyaltyCard_V2") and only notice after the agency call when someone tests a creation and it fails.

The agency briefing is in 90 minutes. A reference sheet with two wrong template IDs is not the handoff you want.

What If the Data Is Not Quite Ready

You need to split templates by brand before sending

The 15 templates belong to three brands — 'CafeChain', 'RetailCo', and 'EventsCo' — identifiable by name prefix. The agency only works with 'RetailCo' templates.

List all Passcreator templates and filter to those whose name starts with 'RetailCo'. Write template ID, name, and pass type into the 'RetailCo Templates' tab.

You want to add a column showing which templates are active vs archived

Some older templates in the account are no longer in use. You want the agency to know which ones are live before they reference any IDs.

List all Passcreator templates and include their active/archived status as a column alongside template ID, name, and pass type.

You need to match templates to existing campaigns tracked in a second tab

The 'Campaigns' tab has a 'Template Name' column in column B. You want to add the template ID from Passcreator into column C so the team can reference IDs without having to look them up again.

List all Passcreator templates. For each row in the 'Campaigns' tab where column B matches a template name, write the corresponding template ID into column C. Flag any campaign rows where no matching template was found.

Pull templates, filter, enrich campaigns, and flag gaps in one shot

The agency needs only active RetailCo templates, and the internal campaign tracker needs IDs filled in — all before the call.

List all Passcreator templates. Filter to active templates whose name starts with 'RetailCo'. Write the filtered list (ID, name, pass type, status) into the 'Templates' tab. For each row in the 'Campaigns' tab where column B matches one of those template names, write the template ID into column C. Flag any campaigns with no match.
